The Team Folders Wizard is included in the Team Folders Kit The wizard is an extensible Component Object Model (COM) add-in for Outlook 2000 that provides a simple user interface and set of collaborative applications The wizard requires no programming to create applications that can be used for discussion groups, issue tracking, calendar sharing, contact lists, and task tracking
Team folder applications are based on folder home pages, a feature of Outlook 2000 that enables you to associate a Web page with a public folder The folder home pages that the wizard creates offer a great starting point for the customization of your own Web-style folder home pages

The Team Folders Kit gives IT departments a tool to distribute to Outlook 2000 users that gives them the ability to create their own collaboration applications that use Outlook 2000 and public folders This means that small workgroups and departments can create and maintain their own applications without relying
on IT for development and management resources The role of the IT department is thereby limited to creating and administering the infrastructure on which solutions are built, rather than building the solutions themselves
Team folder applications created by using the Team Folders Wizard, Outlook 2000, and Exchange Server provide the following specific benefits to teams within organizations

Because team folder applications exist within the Exchange Server public folder infrastructure, these applications and the associated information are

When you deploy a new team folder application, users can automatically be informed with an embedded hyperlink in an e-mail message This link can easily be added to the user’s Outlook Bar Users can then access applications by either clicking the shortcut in the Outlook Bar or by browsing the Outlook 2000 Folder List
Accessing Team Folder Applications While Offline
Users who are offline can access team folder applications through Exchange Server If a user changes information in the team folder application while offline, these changes are synchronized with Exchange Server when the user is online again With optional filtered synchronization, application information can be synchronized so that only desired information takes up space on the user’s local hard disk For example, a manager might see a summary of weekly sales figures while a salesperson might see detailed daily sales reports
Controlling Application Data and Permissions
Administrators control permissions for application data backup and application access by using Exchange Server administration tools Additionally, by using the team folder application interface, you can add new team members once and have the change propagate through all of the folders in the application

The Team Folders Wizard can be used to create six different types of team folder applications: Team Project, Team Contacts, Document Library, Team Tasks, Team Calendar, and Discussion Forum The wizard provides a template for each application
The Team Folder Templates share a set of features that provide users with a common application infrastructure, including an Administration page and folder home pages
Team Folder Administration Page
In each team folder application, two subfolders contain administrative information:
Administration folder Contains forms for sending messages and managing
text displayed by the application home page The folder home page of the Administration folder is a wizard-like tool that the application’s
administrator (usually the team leader who created the team folder) uses to manage the team folder application
Team folder Contains an Outlook Contact item for each team member who
uses the application The team folder home page enables the administrator
to add or remove new team members, send e-mail messages to all team members, and so on

Find feature This feature enables users to locate specific items within the

Each team folder home page includes an Outlook view control to provide folder views and access to the items in the subfolders You can also use this control in other Web pages as well as in Microsoft Visual Basic® or Microsoft Visual Basic for Applications forms

The Team Project application contains a complete set of folders for a collaborative project The other five team folder applications (Discussion Forum, Document Library, Team Calendar, Team Contacts, and Team Tasks) enable you to individually create any of the subfolders (which correspond to the team folder application types) within the Team Project application

The Team Folders Kit contains all of the files that are necessary to deploy and use the Team Folders Wizard By deploying the Team Folders Wizard, team leaders with access privileges can create team folder applications for group members Deploying the Team Folders Wizard is not difficult, but it does require some advance planning and preparation To successfully deploy the wizard in your organization, you must perform the following steps:
1 Ensure that the network server meets minimum requirements
2 Ensure that team folder owner and client requirements are met on computers used by team folder owners (normally team leaders) and team folder clients (normally members of teams)

The folder home pages of the Team Folder Templates use two ActiveX controls:
Outlook view control Provides an Outlook 200 folder home page with the
ability to display the contents of an Outlook folder, to control folder views, and to create, open, print, and delete folder contents
Outlook permissions control Provides a program with a limited ability to
set and change Access Control Lists (ACLs) that protect Microsoft Exchange public folders for the purpose of administering team folders created by the Microsoft Outlook 2000 Team Folders Wizard
By default, the folder home pages download these controls from the Microsoft Web site

by means of an algorithm within Microsoft Internet Explorer However, organizations in which users do not have access to the Internet can configure the folder home pages to download the controls from a server on the
organization’s local area network The Team Folders Kit includes cab files containing the controls, and utility files (Codebase.bat and Codebase.inf) that are used to specify the location of these source files

Before a team folder application can be created, the team leader must install the Team Folders Wizard and the Team Folder Templates The Team Folders Wizard Setup program is a self-contained executable file (Oltfwiz.exe) that a team leader can run from a shared network folder or receive from the administrator as an e-mail attachment

To prepare the network servers to support Team Folders Wizard deployment and use, administrators must:
Set up the Organizational Forms Library on a server running Exchange Server
Make the invitation form available to users
Make the Team Folders Wizard Setup files available to team leaders

Publishing the Invitation Form
When team leaders create a team folder application, they can send an invitation form to team members This form tells the members about the application and provides a button to click to add a shortcut to the application to the Outlook Bar To make this form available in the Organizational Forms Library, run the Vbinvite.exe program Write permission to the Organizational Forms Library is required to run this utility, which an Exchange Server administrator usually runs
Making Team Folders Wizard Setup Files Available to Users
You should place the Team Folders Wizard Setup and supporting files in the location from which users typically download components If your network users can download software from the Internet, no special steps are necessary to download the components because any Outlook 2000 user should be able to use the team folder applications created by the team leader with Team Folders Wizard
Downloading the Required ActiveX Controls Automatically
When a team member visits a team folder application for the first time, the team folder home page automatically downloads directly from the Microsoft Web site the ActiveX control that the page requires

If the team leader who runs the Team Folders Wizard cannot download ActiveX controls from the Internet, you must make the controls that team folders require available on your intranet
To make files and ActiveX controls that the Team Folders Wizard requires available on an intranet:
1 From the folder that you created with Team Folders Kit Setup (default location is C:\TFKit), copy the following files to a Web share on your network:
2 Using a text editor, such as Microsoft Notepad, open the Codebase.inf file in
the shared folder and change the string that follows ControlsURL= to the
fully qualified network path or Uniform Resource Locator (URL) of the shared folder
For example, if you placed these files in a shared Downloads folder on a computer named Toolsrvr running Internet Information Server, you would change the statement to the following:
ControlsURL=http://Toolsrvr/Downloads/
3 Team leaders need to run the Codebase.bat file to install the Team Folders Wizard and to configure folder home pages that load controls from the intranet location
Instruct the team leaders who need to create team folder applications how to run the Codebase.bat file from the shared folder For example, you could send interested team leaders an e-mail message containing a shortcut to the shared file and instructions for running the Codebase.bat file
Enabling the Team Folders Wizard Setup Program to Run Without User Intervention
You can instruct the Team Folders Wizard Setup program to run without user intervention Using a text editor, such as Notepad, open the Codebase.bat file in
the shared folder and add the /q switch to the line that runs the Team Folders
Wizard Setup program, as shown in the following example

If you establish a specific Exchange Server public folder or Web server folder for creating team folder applications, you can easily provide the addresses of these locations as the default addresses in the Team Folders Wizard This helps prevent users from specifying invalid paths for these locations You set these default paths in the wizard by setting entries in the registry
If you are using the Package and Deployment Wizard to install the Team Folders Wizard as part of an Office 2000 or Outlook 2000 rollout, you can use the CIW to set these registry entries Otherwise, you can create a registry entry (.reg) file that you can distribute to users
Creating a Registry Entry File
The registry settings for the default file locations are located at HKEY_CURRENT_USER\Software\Microsoft\Office\Outlook\Addins\

To designate the default public folder, specify the path of the public folder as a
string value named DefaultTargetFolder To designate the default Web server, specify the URL of the server as a string value named DefaultTargetURL

If you are using the Codebase.bat file to set the location from which to download the team folders ActiveX controls, you can add a line to the beginning of the Codebase.bat file to import the reg file settings before running Team Folders Wizard Setup (Oltfwiz.exe) To import settings from a reg file to the registry, use a command line in the batch file as shown in the following example:

Permissions Control Installation Issues
When customizing the installation files a common mistake is not making the controls available for download The following error message results:
"Error 1200: Cannot initialize the Outlook Permission Control."
If this error occurs when you try accessing the Administration page, the permissions control could not be downloaded The problem can be fixed in one
of two ways Delete the team folders that you just created Verify that the directory specified in the Codebase.inf file is the actual path to the HTTP share where the control is located Then run the wizard again to create the team folder application
Another solution is to copy the OlTFacl.ocx file into C:\Winnt\System32 After
copying this file, open the command prompt and type regsvr32 c:\winnt\system32\olTFacl.ocx and then navigate back to the administration
page
