In the context of integration and globalization, English has become the most widely used language in the world of trade and commerce over the past decade As a result, having an excellent knowledge of English for business is indispensable for success in any career Moreover, being proficient in English is a requirement for promoting the cooperation, especially related to import and export activities It is mainly because almost all forms of business communication such as email, presentations, sales and marketing and even corporate legal documentation are now carried out in English

Acknowledge of the importance of English in business, I have decided to choose

Bluetech Vietnam Import and Export Joint Stock Company as place where I have

favorable conditions to learn and obtain practical working environment, enhance knowledge and skills of English In fact, Bluetech.,JSC is one of the most prestigious company in the field of providing import, export and logistics services With direct guidance and enthusiastic support from my advisor as well as the company employees,

I have been given a lot of suggestions and orientation about their future career

Therefore, all of the valuable experience and meaning full lessons at Bluetech., JSC will be shared through this Internship Report I hope the report will be a testament

to the achievement that I have gained in Bluetech.,JSC ‘s Internship program

1.2 Mission

1.3 Objectives

With the goal of widely distributing to customers products of industrial valves, pipe fittings, as well as fire protection equipment nationwide, Bluetech, JSC aims at all customers who are Trading Unit, General Contractor, Construction Contractor, Retail Client through genuine products with the most competitive prices and with friendly customer care service Reputation is guaranteed by the reputation of the business

During the period of operation, the company always attempts to become one of the leading companies in this field in Vietnam In order to establish a widespread

network of customers, the company places an emphasis on providing the best services for customers as well as taking care of customers carefully

Additionally, the company also strive to develop, improve and expand services to compete other brands in the market Bluetech., JSC has committed to bring about high quality services to customers with reasonable prices, guarantee to import and export commodities successfully in short run, and reduce risks in the process of importing and exporting

1.4 The establishment and development of the company

Bluetech,.JSC, formerly known as the PCCC precursor unit and was established

on 30, May 2017 by experienced and professional founders, with the initial address in

No 4, Cat Ngoi Hamlet, Cat Que Commune, Hoai Duc District, Hanoi City

In the first time, there were a few employees and the number of customers opted for using company’s services was not substantial Moreover, at that time, the company also had difficulty in positioning in the competitive market in which there were many competitors who have had experience in providing freight forwarding and built trust in customers

After 4 years of operation, the headquarter of Bluetech., JSC.decided to move to

17 Trung Thanh, Huu Hoa, Thanh Tri, Ha Noi With the constant effort and perseverance of the overall employees, , currently, Bluetech., JSC has not only built a large network of customers but also brought about high quality services with a view to satisfying all of the customers who trust and use the company’s services

1.5 Organization structure

- General Director: The legal representative of Bluetech, JSC, running all business activities, establishing strategies, system of norms, working regulations, remuneration, economic contracts and capital use

- Import- Export Department: Summary the demands of Sales Department to carry out international purchasing activities, seek suppliers, expand markets, implement stages of purchasing process, quickly bringing product into domestic market, keep in touch with long-term suppliers and look for new potential others

- Logistics Department: Dealing with specialized documents, coming to customs agency to declare goods and other relevant business

- Sales Department: Searching and developing customers who have demands for domestic transportation, international shipping, customs clearance, Transactions, offers and quotes for customers, looking after old customers and finding new customers

- Marketing Department: Carry out marketing activities, offer machines and construction equipment on company websites and e-commerce websites

the company's products and business services and forecasts about upcoming plans, coordinating with other departments to well implement plans and objectives

PART 2: THE INTERNSHIP PROCESS IN BLUETECH VIETNAM IMPORT

AND EXPORT JOINT STOCK COMPANY 2.1 General information of the department that participated internship program

I took part in internship program in Bluetech.,JSC and was given an opportunity

to work in Logistics department as a document intern This department is divided into two division, namely Document division and Operation division There are 6 employees in Logistics department, including 3 document employees and 3 operation employees

The main tasks of employees in this department are dealing with specialized documents, coming to customs agency to declare goods and other relevant business The manager of Logistics Department in Bluetech.,JSC is Mr Mai Van Hieu, who was also my supervisor during my internship program

2.2 The specified tasks are assigned during the internship

I had an opportunity to work in Bluetech.,JSC for one month from 28th December

2020 to 21th January 2021 During the internship, I worked as a sales employee in Logistics Department The tasks I performed were varied and changed according to each week

2.2.1 From 28 th December 2020 to 1 th January 2021

On the first day in Bluetech., JSC, I started to get acquainted with the manager of the department as well as other staff in the company

The initial assignment I took on was studying the documents of the company such as the company’s history and establishment, the achievements and activities occurring on the daily basis Furthermore, I also had to find out information about sales and marketing, which I was taking part in internship program in order to have an insight into what each employee was doing and what I would be assigned in the next days

On the other days of the first week, I continued to research on import and export procedures, customs procedures to make declaration for commodities and learned about the necessary documents used during import and export process such as sales contract, Bill of Lading, Commercial Invoice, Packing List, Certificate of Origin, Delivery Order, Arrival Notice, These documents were all in English and I had to read and understand them, knew the form of types of documents and their content

These knowledge was very important for me to perform the job successfully and effectively

2.2.2 From 4 th January 2021 to 9 th January 2021

In the second week of internship, my tasks were diversified On the first three days, my supervisor assigned me to draft some sales contracts, Commercial Invoices

and Packing Lists of the company’s transactions with certain requirements of

customers Regarding consignments which needed to inspect quality, I had a chance to

go to the relevant Office with a experienced employee to observe the process of implementation

Moreover, during this week, I continued to study the international methods of payment such as Telegraphic Transfer and Letter of credit, two main methods used often in import and export process Understanding these modes of payment would help

me and other employees in this department to be able to draft contract effectively

2.2.3 From 11 th January 2021 to 16 rd January 2021

During this week, I had more tasks to perform I was taught how to make customs declaration for goods via a software named Ecuss5 After having a basic knowledge of this procedure, I started to practice making customs declaration for some current consignments of the company with the help of other employees to become more skilled at this process

One of the main task I performed in this week was calculating the tax value of each commodity, including import tax, VAT or specialized consumption tax These kinds of tax are very vital for each document staff to draft price table in the exporter’s warehouse

At the same time, I learned about how to check carrier schedules and the content

of a carrier booking At the end of each day, my supervisor instructed me to how to write an effective email to customers

2.2.4 From 18 th January 2021 to 21 th January 2021

The last week in Bluetech.,JSC gave me more experiences I had a chance to work via email with some customers of the company and support them to make

necessary documents and declare their consignments Additionally, I started to study

local charges including types, content, the situation in which they are used and how to calculate them

Next, my supervisor gave me some documents of a table of logistics prices of the company to learn about More importantly, he also taught me how to draft debit note in order to manage all costs effectively This debit note will be sent to the finance and accounting department and then they will send to customers to receive their payments Specially, the most interesting thing during this week was that I was given an opportunity to come to some warehouses as well as customs branches to observe the import and export process in reality This experience was so important for new document employees because it could help them to have a full understanding of how import and export activities occur

2.3 The difficulties and lessons during the internship.

2.3.1 The difficulties

On the first days, everything was new to me because working environment was far different from my university, from the working time, rules as well as the tasks I was assigned The actual working environment is very different from the theory what I learn in school Due to the limited experience, the skills to convince customers and suppliers are still a hard challenge to me, which has not created the really satisfaction

of customers

The initial task that I was assigned had brought about me some difficulties Firstly, the researching on information of logistics, import and export procedures sometimes made me confused as they was completely new and I had not had a chance

to study them carefully Although I took a course about logistics, I had to spend a lot of time to have an overview of them

The second problems I had was that there were some terminologies in import, export and logistics area such as Bill of Lading that I did not know This sometimes led

to the fact that I misunderstood the details of documents, which could have an adverse impact on other activities such as drafting sales contract I realized that some theories were not similar to reality In particular, when drafting contracts, I did not know how
