Workshop Objectives
At the completion of this workshop you will be able to:
Run reports from the Standard Reporting menu
Run reports by name
Run reports from the Functional menus
Use QuickViewer to generate your own basic reports
NB The screens that you see may vary slightly from those shown below
SAP provides a large number (thousands !) of standard reports that can be accessed in different ways If there are no standard reports available to provide the required
information, it is possible for users to produce their own basic reports using a simple query tool
Standard Reports
Most of the reports in SAP are grouped together in a section of the Standard Menu, called the General Report Selection
1 Choose Information Systems => General Report Selection =>
Production Planning => Master Data => Work Centers => Workcenter List
The Work Centre List selection screen is displayed

If you know the name of a standard report you can run it directly as follows :
5 From the Menu Bar, Choose System => Services => Reporting
6 In the Program field, enter “RFSOPÒØ” (Note that the last 2 characters are
zeros)
Click or press F8 to execute the report
The General Ledger, Line Items selection screen is displayed
7 Click on the “Program Documentation” button on the Application tool bar
This will display the documentation relating to this report
What is the sort sequence of the report ?
8 Type : Chart of Accounts GL00
G/L Account 720000 Company Code US00
Click or press F8 to execute the report
9 Return to the Standard Menu using or

10 Choose Logistics => Materials Management => Purchasing =>
Purchase Order => List Displays => By Material
11 Type Plant DL00 on the selection screen and execute the report
After any report has been run, the results may be exported to a number of different file formats
12 From the Menu Bar, choose System => List => Save => Local File to
see the formats
Write down the available formats
13 Return to the Standard Menu using or
Do not save the format

14 From the SAP Menu, choose :
Information Systems => General Report Selection => Materials
Management => Purchasing => General => List of Vendors : Purchasing
15 Enter Purchasing Organisation: US00 and execute the report
16 This report is displayed in SAP List Viewer format
Note the buttons on the Application Tool Bar :
Move the cursor across each button to see its function These functions can be
performed for any report displayed in List Viewer format
17 Click on any column and sort the report by that column
18 Produce a simple graphic
19 Change the layout

SAP has its own reporting tool to allow end users to produce reports
20 From the SAP Main Menu choose System => Services => QuickViewer
The QuickViewer : Initial Screen is displayed
21 Type in the name of your QuickView (QV-xxx01 where x-xxx is your SAP user id)
22 The Choose Data Source dialog box will be displayed

Note that the screen is divided into four panels:
A The tables used in the report By clicking on the symbol, you can see
the fields that belong to the table

25 If the tab is not selected, click on it to select it Note it has
two columns, the “Fields in list” on the left, and “Available fields” on the right
The fields that you want to appear on the report can be moved from the
“Available fields” column to the “Fields in list” column

Trang 826 By selecting each field in the “Available fields” column and then clicking on
the button, select the following fields to copy them into the “Fields in list”
column:
Airline code
Flight connection number
Flight date
Maximum capacity in economy class
Occupied seats in economy class
Your screen should then look like:
27 Click on the tab and using the same technique to copy the fields
from the right column to the left column, select the Flight connection number
as the major sort key in ascending sequence
Select the Flight date as the second sort key in descending sequence
28 Click on the tab and again, by copying the fields from the
right to the left, choose Airline code as the selection field
29 In the “Export As” drop down list, select “List Output”
30 Now click on the button on the Applications tool bar A sample
layout will be displayed
Trang 9It is possible to include „systems variables‟ such as today‟s date and time in the report These variables are identified by the first two characters „&%‟
31 Click on the header text (the line that says „Insert header text here‟) and type the
following header as shown below (do not include the single quotes) :
‟Flight Listing Date : &%DATE‟
32 Click on the footer text and type the following footer :
‟Time : &%TIME Page : &%PAGE‟
33 Click to save the report

35 In the Program selections dialog box type Airline Code : „SQ‟ and
execute again Your report should be displayed in „List Output‟ mode
36 Experiment with some of the other buttons on the Applications toolbar
eg Sort, Display, Sum

Trang 11You will now use the Quickviewer to produce a report of your own
38 Following the same steps as for the previous report, create a query to produce a
new report from the SPFLI table Start a new query (QV-xxx02) for this
exercise
Note the following :
- The report is sorted by Airline carrier id and then by Flight connection code
- There are no selection fields
- Vertical separators may be added by “dragging” the separator icon from the Tool
box to the report detail line
- Control breaks may be defined in Layout mode by selecting the field in the Sort
fields box and then clicking on the „Control level text‟ and „Frame around control level‟ boxes
- If the Restriction of Database Accesses dialog box is displayed, press Enter
(100 records)
Trang 12Reports based on more than one table
Some times you may wish to produce a query using data which is physically held in more than a single database table
39 Create a new QuickView, QV-xxx03
40 In the “Choose data source” window, select “Table Join” as the data source and also select “Basis Mode”
41 Press <Enter> The “Create QuickView : Change Data Source” screen is
displayed
42 Click on “Insert table” and choose SCUSTOM for the first table (Customers)
43 Click on “Insert table” again and choose SBOOK for the second table (Bookings)
44 The Join Definition screen should now look like:
45 Click on Back
46 In the “Available fields” list you will see that you can choose data from both
tables
