Learning Objective Understand and perform a Human Resource process

Scenario In the U.S Global Bike Company, a new security department will be equipped

with three positions The first position is also head of the new organizational unit The other positions are set up for a security guard and a security manager For two positions, qualified employees were found You, as an employee in Human Resources are responsible for

maintaining the data of the new employees in the system To ensure that the head of the new department receives his or her reward at the end of the month, you maintain the

personnel master record accordingly In the course of double-checking, you make sure that all changes are also included in organizational management

You start the process with the creation of three positions for the head of the department and two other positions Next, the positions of the Security Guard and the Chief Security

Manager are staffed with employees with the help of a personnel action Afterwards you maintain the bank details and the basic pay of the Chief Security Manager Finally, you

review the changes in the organizational plan

Create Positions

Task Create positions within the organizational structure

Short Description Use the SAP Easy Access Menu to create three positions for the new security

organizational unit

Positions are occupied by employees If a position is not occupied, it is vacant Positions are

assigned to organizational units Example: position administrator of accounts payable

accounting

01 To create a position, follow the menu path:

02 The positions should be created in the department xxx Security, xxx being replaced by your Organisational Unit Code (NOT your SAP ID) Therefore, please go to the window

Find by on the left side of the screen There, click on Organizational unit and search term,

enter the search term xxx Security in the name entry field and press The search result should be displayed in the Hit list window on the left side of the screen

03 Please choose your organizational unit via double-clicking so that it appears on the right side of the screen Highlight your organizational unit and click on in the context menu

04 In the upcoming screen Choose Relationship, please choose Incorporates as you would like to create a position

05 A new position was created underneath your xxx Security department On the bottom of the screen, the details for the new position are displayed There, please enter the

abbreviation ### CSM for the position and ### Chief Security Manager as the name

Note that here ### represents your SAP logon id, not the Organisational Unit Please

activate the check box Head of own organizational unit If this field is greyed out, please

click on Display key date The functionality should be available then

06 Press enter to update the entered information The organizational structure should now look as follows:

07 Repeating the previous procedure, create the position Security Guard underneath the

Security department As abbreviation, please choose ### SG and as name ### Security

Guard Do not tick the Head of own organizational unit box

Press enter to update the information Your structure should now look like the following picture

08 Repeating the previous procedure, please create the position Security Manager underneath

the Security department As abbreviation, please choose ### SM and as name ###

Security Manager Press enter to update the information Your structure should now look

like the following picture

09 Save your changes and click on the exit icon to return to the SAP Easy Access screen

Hire Employees

Exercise Hire employees for the new positions

Short Description Use the SAP Easy Access Menu to hire two employees in the Security

Department

10 To hire the employee, follow the menu path:

11 Leave the Personnel No blank

Enter the current date as the From date (F4, then Enter)

Select the action Org Management (mini master) out of the corrective actions and

enter DL00 as the personnel area, 1 as employee group, and U4 as employee subgroup

12 Then, click on Execute

13 In the Create Actions screen, in the Position field, find the position ### Chief Security

Manager with the F4 help Then, press Enter to continue and save your data with

14 You will be taken to the Create Personal Data screen Enter a name and a date of birth for

your manager For Social Security Number (SSN), use 654321### Then, press Enter to confirm your entries The screen with all data should look like the following screen

15 Then, save your data You will automatically be taken to the next infotype (Create

Organizational Assignment) Write down the Personnel Number of your employee

Employee Number : Name : _

16 In the Organizational Assignment infotype, define EX00 as subarea Save the data and

choose YES to confirm the selection of your position’s vacancy

17 You are now at the “Create Basic Pay” infotype screen

Select PS Group equal to SALES and save again

You will be taken back to the Personnel Actions screen

18 Clear the Personnel No field and press Enter

19 We will now repeat the whole procedure for the second employee This time you hire an

employee for the position ### Security Guard Again, enter today’s date as the start date

Then select the action Org Management (mini master) out of the corrective actions

and enter DL00 as the personnel area,

1 as employee group,

and U4 as employee subgroup

20 Then, Execute

21 In the Create Actions screen, find the position ### Security Guard using the F4 help

Press Enter to continue and save your data

22 You will be taken to the Create Personal Data screen Enter a name and a date of birth for

your guard For the Social Security Number (SSN), use 654322### Then, press enter to

confirm your entries and save your data The system will automatically take you to the

next infotype Write down the Personnel Number of your employee

Employee Number : Name : _

23 In the Organizational Assignment infotype, define FI00 as subarea Save your data and

confirm the selection of your position’s vacancy by clicking on Yes

24 Enter PS Group of SALES and save again

25 Now, you have hired two new employees

26 Click on the exit icon to return to the SAP Easy Access screen

27 Go back to the Organization and Staffing Display (Txn : PPOSE) and review the new

Organisational structure

Maintain Personnel Master Record

Short Description Use the Sap Easy Access Menu to maintain the personnel master record of

one of your employees

28 To maintain the master record, follow the menu path

29 Type in the personnel number of the employee working as ### Chief Security Manager

or search for the personnel number with the F4 help using first or last name and press Enter Choose your employee and continue with Press Enter to retrieve your

employee’s data Now, highlight the infotype Addresses and press

30 In the next window, choose Permanent residence as the subtype for the infotype

31 In the Create Addresses infotype, enter any data for Address line 1

32 In the City field enter Dallas, select TX as State (Texas) and postal code 75201

33 Save the data with

34 In the Tax Area screen, choose TX as tax area and press Enter

35 Save the infotype

36 Exit back to the Maintain HR Master Data screen

37 Now highlight the Infotype Bank Details and press

38 In the Create Bank Details screen, enter Check [C] as the payment method and save the

infotype with

39 Back in the Maintain HR Master Data screen, on the Gross/net payroll tab choose the

Basic Pay infotype and proceed with

40 On the Change Basic Pay screen assign your employee an annual salary of 200000 USD

and press enter Save your infotype and ignore the warning message by pressing Enter twice

41 Click on the exit icon to return to the SAP Easy Access screen

44 Drill down on one of the employees to see their details

45 Click on the exit icon to return to the SAP Easy Access screen

Display Changes in the Organizational Plan

Exercise Display the changes you have made to the organizational plan

the Administration department
