1 Introduction

- In this semester, our company will hold an event named Sparkle in October foruniversity students studying in Ho Chi Minh city In order to gain a clear overviewfor the needs of this event, we - the event organizers - have done research into thefactors affecting students’ decision when choosing an event Based on theexpectations of our customers, we have prepared a detailed event plan whichconsists of the three main sections namely are: marketing mix, human resourcerequirements and financial details

2 Marketing Mix (The survey link is in the references section)

2.1) Product:

Mineral water

In terms of drinks, half of the respondents would like to consumemineral water so in our event, we will serve this drink

Snack and rice paper

After having done the survey, our company decided to choose snack,rice paper as the main food because the majorities of guests would love

to eat (61.4% for snack and 48.2% for rice paper) Besides, spongecake will be prepared in case some participants can not eat the twoprior food

One indispensible activity in our event is giving thankful gift to theparticipants as the research showed that having gift is one of thereasons attracting guests As a result, our company have to think of thegifts that can highly impressed the participants (the packaging will also

be carefully-prepared) During the event, participants will take part insome activities and of course, the top 3 players will receive gifts aswell

2.2) Price:

The survey shows that our participants tend to attend free eventand if the event is paid, it will mostly below 200 000 VND.Therefore, it is not surprising to see that 59% of the participantsare willing to pay less than 200 000 VND for an event

In order to make the event affordable to the guests, ourcompany decide to make a budget plan in that the ticket fee is

no more than 200 000 VND per person

Payment method: Customer can pay via Momo or Banking.Detailed information will be updated soon on our Fanpage

o Consider the given data, we have decided to look for some famous parks inBinh Thanh, the top three are:

Vinhomes Central Park

Sala Park

We agreed that both Sala and Thanh Da Park are popular in Binh Thanh.However, location in Sala and Thanh Da Park means participants have to travelfar more distance from the central city in comparison with Vinhomes CentralPark What more is that, there is only one big street (Binh Quoi) to get toThanh Da Park, which explained for the traffic jam during rush hour

After having chaired the meeting with all the organizers, our event teamchoose Vinhomes Central Park as the location of the event because of manyadvantages it has brought about:

1 Lessen the travel time between neighboring districts

2 Have lots of car parking lot nearby

3 Participants can move inside the Landmark in case of severe weather

4 Participants can take photos almost every corner in this park

2.4) Promotion

Social media platform: Facebook, Instagram and Tiktok

It is clear that Facebook, Instagram and Tiktok are the top three used social media platform by our participants Therefore, we havedecided to create social account on these platforms so that people canget access to the event much easier

most-Means to maintain contacts: E-mail and social media platform.

After having registered the event, our participants will be notified aboutupcoming information via E-mail, we will also update on our socialmedia account as well The reason why we choose E-mail as the mainmethod of communication is explained in the bar chart below

In order to make this event cost as low as possible, ourcompany decide to recruit some volunteers The contract ofpartnership agreement will be followed throughout the event.The positions for volunteer that we are going to recruit include:

- In order to check the progress of each activity, our event

planning team has designed a Gannt chart

- The Gannt chart below has listed some of our preparations forthe event Each job will be divided fairly among our employees(the responsibility of each person will be described in thehuman resource requirements section) so that no one will find ithard to meet their deadlines

o It is a must for everyone to arrive early at the event site to check if everything is well-prepared

Receptionist: The salary for receptionist is fluctuated from 15 000 to 25 000VND per hour Our company want to hire a receptionist able to work 4 hours aday within 4 days, each day our company will pay 20 000 per hour Therefore,the cost for receptionist rental will be:

20 000*4*4= 320 000 Cleaning staff: The salary for cleaning staff is around 6 million/month Theaverage money cleaner get in 1-hour working will be 25 000 Our companywill pay a competitive price of 30 000 per hour if cleaning staffs agree to meetour requirements in the job description Cleaners will work for 3 hours whenthe event takes place Our company are going to hire 4 cleaning staff, so thecosts will account for:

30 000*3*4= 360 000 Volunteer:

For those who are cameramen and logisticians, our company will provide 50

000 per day as fuel-money support The cost will be:

(2+10) *50 000= 600 000

In terms of content creators, each one will receive 50 000 when publish onepost on the Fan-page We are planning to have 6 posts so the cost will be:

50 000*6= 300 000 The total staff salary: 320 000 + 360 000 + 600 000 + 300 000 = 1 580 000 Variable cost:

“Banh trang Tay Ninh”: After having contact some local sellers, we have foundthe “Banh trang” that truly originated from Tay Ninh with the cost of 5 800 forone small pack

Snack: Our company choose brand Oishi, the cost of one serving is 2 000Sponge Cake: we going to serve “Solite cake” of “Kinh Do” Solite is not astrange name to the Vietnamese Therefore, we hope the guests will enjoy thissweet cake The market price of one serving is 2 500

Mineral water: Lavie Price: 3000/1 bottle

We choose Lavie because it is ranked first among the top bottled water inVienam Besides, Lavie is under the quality- supervision of Nestlé Water, aworld leader in bottled drinking water, LaVie is bottled by a closed process atthe source without any chemical treatment

Paper towel: After having considered the price of many types of paper towel, wedecide to buy the one which costs 2 999

Workshop supplies:

Oil pastel: 15 000/box

Thick paper size A5: 1 000/piece

Gift (participants will also save the oil pastel drawing as a gift)

Highlighter: 4 800/1 pen

Sticky note: 3 430/1 pack

Thankyou card: 1 000/1 piece

Total Revenue=Price*Quantity Sold (1)

Total Cost= Fixed Cost + Variable Cost= Fixed Cost + (Variable Cost per Unit* QuantitySold) (2)

Because the majority of our participants want the ticket fee lower than 200 000 VND so ourevent team have decided to sell our ticket at 100 000 VND

To calculate break even point, we have to solve:

(1) = (2) 100 000 * Quantity Sold = 2 029 928 + (42 829*Quantity Sold)

Quantity Sold ~ 36 tickets

Therefore, we need to sell at least 36 tickets at the price of 100 000 to break the even point.However, we have also prepared another financial planning in case we cannot hire anyvolunteers The salary for cameraman, content creator has been obtained by callingdirect to the service provider

Total Variable Cost per Unit 42 829

If our company continue to keep the ticket fee at 100 000 VND per person, the break-evenpoint in this case would be:

100 000 * Quantity Sold = 3 829 928 + (42 829*Quantity Sold)

Quantity sold ~ 67 tickets

In order to make the event operate smoothly, our company have listed some risks that canoccurs and take some preventions beforehand
