International Agreement Renewal Form

GENERAL INFORMATION

The Agreement Renewal process is internal to California Polytechnic State University, San Luis Obispo Approved renewed agreements will be sent to the partner institution by the Cal Poly International Center You may contact the Cal Poly International Center at international@calpoly.edu with questions or to discuss the status of the agreement

Please copy the Cal Poly International Center on all written and electronic correspondence with the partner institution regarding the renewal of the agreement

The Faculty Coordinator submits the following to the Cal Poly International Center (Bldg 52, E-32):

• International Agreement Renewal Form (including Agreement Endorsement signatures)

• Copy of the current agreement document (MOU or Exchange Agreement)

• Updated catalog, brochure, or other written information from partner institution

INTERNATIONAL AGREEMENTS POLICY

I GENERAL: Agreements are entered into for the purpose of facilitating international cooperation on the basis

of mutual benefit There are two types of agreements, which may facilitate international cooperation: A Memorandum of Understanding (MOU) is a general agreement that lays the groundwork for future collaborative activity An Exchange Agreement details one or more specific exchange activities and normally includes the commitment of university resources

II DEFINITIONS: International agreements are those institutional affiliations between California Polytechnic

State University, San Luis Obispo and partner institutions that involve the use of the University's name and may include any or all of the following:

o Exchange of scholarly materials

o Administration of student exchange programs

o Administration of faculty exchange programs

o Administration of joint research projects

For the purpose of this document the following definitions will be used:

Memorandum of Understanding (MOU): A document that establishes a broad context for institutional

cooperation Because an MOU does not spell out specific commitments, programs will not be implemented without a supplemental Memorandum of Agreement (MOA) An MOU is not a legally binding document,

Exchange Agreement: An agreement that spells out the specific arrangements for a program of exchange

between one or more units of the University and another institution An Exchange Agreement is a legally binding document and includes exchange agreements, affiliate partner agreements and other such agreements that are legally binding

Amendment: An agreement that clarifies or expands an MOU/Exchange Agreement (Note that neither an

Amendment or Addendum may be used to extend the term of an agreement; a new agreement is required.)

Renewal: MOU/Exchange Agreement may be renewed following consultation and agreement between both

institutions

Coordinating Unit: The college, school, department, or center at Cal Poly that has agreed to serve as the

‘home’ of the agreement in consultation with the Cal Poly International Center

Faculty Coordinator: The representative from the Cal Poly Coordinating Unit who is responsible for

administering and implementing the agreement

III AGREEMENT PROPOSAL/RENEWAL FORM: The information provided assists the Cal Poly

International Center in coordinating Cal Poly’s international exchange activities Units are asked to provide the following information:

A Identification of a Faculty Coordinator responsible for administering and implementing the

agreement, and an indication of the unit's commitment through the signature of the Dean/Director

B Identification of other Cal Poly faculty who support the agreement or are interested in participating in

the implementation of the agreement

C A brief description of the activity that is to take place under the agreement

D An indication of Cal Poly resources to be utilized

E A brief description of any non-Cal Poly commitments required by the agreement

The Agreement Proposal/Renewal Form must be accompanied by a copy of the agreement document which representatives of both institutions will sign In the case of an Exchange Agreement, the agreement itself must spell out the details of how the proposed exchange program will be implemented

IV PROCEDURES: A proposed MOU/Exchange Agreement, along with the completed Agreement

Proposal/Renewal Form, is submitted to the Cal Poly International Center (Bldg 52, E-32) for review by the International Programs Committee The documentation with its recommendations will then be submitted to the Chancellor for approval An MOU/Exchange Agreement shall be considered in effect once the agreement document has been signed by the Chancellor, by the Dean/Director if the agreement involves a specific Cal Poly unit and by the appropriate persons at the partner institution

V DISTRIBUTION AND ARCHIVES: The Cal Poly International Center is responsible for distributing

copies of an authorized agreement to the appropriate parties It retains the original of the Agreement Endorsement Form/Agreement Proposal Form and a copy of the signed agreement for its files

VI ADMINISTRATION: The agreement shall be administered by an Faculty Coordinator The Cal Poly

International Center is not responsible for the administration or implementation of agreements

VII REPORTS: Each year the Cal Poly International Center will seek to obtain an activity report from the

coordinator of each international agreement These reports will be assembled into a summary report for the Cal Poly International Center Director

VIII LIMITATIONS: The duration of agreements will be limited to a cycle of not more than five years

During the final year of a cycle, each agreement may be reviewed for renewal upon the recommendation of the Faculty Coordinator and the partner institution The Cal Poly International Center will monitor the status of agreements
