The following changes were made in revision 1.2 of the Annual Update Specifications:

Since one could have registered several years ago but voted within the last 2 years, the following wording would be more appropriate (highlighted words added):

Replace the existing text with:

This change would also be more consistent with the SAAM wording: “Maintaining voter

registration and voting in another state.”

The CCCApply.org home page says, “Each year at our 112 colleges, more than two million students from all over the world build their career skills, prepare for transfer to four-year collegesand universities, or simply enrich their lives through learning.” The current number is nearly three million students

Solution Request

Change the statement on the CCCApply.org home to “Each year at our 112 colleges, nearly threemillion students from all over the world build their career skills, prepare for transfer to four-year colleges and universities, or simply enrich their lives through learning.”

Note: The Steering Committee declined Mark Howell’s request to change the number of

colleges to “more than 110”

2011-14 Add Help Pop-up for Name Fields

Problem Statement

For account recovery and matching of student records, it is important that students enter their names correctly and consistently To aid in that goal, and to reduce user support calls related to names, we would like to add a help pop-up for the name fields This pop-up would be available from both the Personal Information page of the application and the Account Creation page

Solution Request

Add pop-up help for the Student Name section on the Personal Information page, and to the

Account Creation screen Add text to the screens for hyperlinking to the help pop-up

Specifications

1 On the Personal Information page, in the Student Name section, include the following

immediately below Legal Name (as illustrated for 2011-38 in Figure 38-B):

Your current full name :

2 On the Personal Information page, in the Student Name section, include the following

immediately below Other Name Used (as illustrated for 2011-38 in Figure 38-B):

A previous or alternate name that may have been used in earlier academic records:

3 Hyperlink the blue text in items 1 and 2 to a single help pop-up as illustrated in Figure 14-A

The text of the help pop-up is as follows:

Student Name Legal Name and Other Name Used

For your Legal Name, please enter your full name as it appears in official documents

such as school records and your driver’s license Do not enter a nickname or other

informal name in place of your full First name.

In you previously used a different name (for example, if you got married and changed your name, or if school records might be under a name other than your Legal Name),

please enter your previous or alternate name under Other Name Used If you have not used a different name in the past, do not enter anything for Other Name Used.

For your Middle name, include the full middle name and not just an initial (unless you

only have an initial) If you have more than one middle name, the best thing to do is to enter the middle name(s) that appear in your previous school records You can enter

more than one middle name in the Middle name field as long as there is room.

If you do not have a middle name, leave Middle name blank and check the box labeled

“Check if no middle name” If you also have no First name (in other words, if you have a

single name), also check the box labeled “Check if no first name”, and enter your single

name in the field for Last/Family name.

If you have a very long name which will not fit in the field provided for it, include as much

of the name as you can.

If you use a Suffix other than the choices provided (for example, “VI”), leave it out Do not enter the suffix in the Last/Family name field Choose the Suffix “I” only if it is

regularly used in your official documents such as school records, tax returns, and driver’s license.

4 On the Account Creation page, include the following immediately below Legal Name (as

illustrated for 2011-38 in Figure 38-A) Make the blue text a hyperlink to the same help

2011-15 Revise Residency 2 Error Checking

2011-19 Make All ‘raceGroup’ Values 2 Digits

Problem Statement

Currently, values for raceGroup can be one or two digits The fact that a value may be one or two digits significantly complicates the writing of rules for race-Group.

A rule such as ‘raceGroup CONTAINS 15’ is useful for determining how many applicants

checked the box for Black/African-American in the Ethnicity/Race section However, where the

numeric value is a single digit, such a rule will not work; for example, ‘raceGroup CONTAINS

5’ would find values of 5 and 15 If we add 0 before the current single-digit values (i.e., 02, 03,

etc.), rules could be written easily for any raceGroup values.

Solution Request

Make all raceGroup values two digits by adding a leading zero to all fields that are currently one

digit

Specifications

1 For the database element raceGroup, change values 2 through 9 to 02 through 09 (In other

words, make all values two digits.)

2 When combining multiple values within the database element raceGroup, continue to

separate (delimit) the values with a comma and space as is currently done

3 Increase maximum length of field to 78 characters to support a maximum of 20 values in the string

2011-20 Revise Instructions for Colleges Attended

Revise instructions in Colleges Attended section of Education page to indicate that information

should include college(s) the applicant is currently attending

Specifications

1 On the Education page, modify the instructional text for the Colleges Attended section as

illustrated below The new text is: “Enter the names and locations of up to four

colleges/universities you have attended or are attending Begin with the last institution attended.”

2011-21 Fix ‘Date Attended’ and Other Date-Related Error MessagesRequestor: Mark Howell, 4/19/10

Problem Statement

In the Colleges Attended section of the Education page, the error messages for the ‘Date

attended’ fields are currently as follows:

 Entered 3-digit year:

 Entered year = 2020:

One problem is that three of the four messages refer to mm/yyyy format, which we haven’t used for years Also, the year for ‘Date attended from’ or ‘Date attended to’ must not be later than the current year plus one; but since the error messages do not say this, applicants have no way of knowing why a valid year such as 2013 would result in an error

Solution Request

In the Colleges Attended section of the Education page, clarify the error messages for the ‘Date

attended to’ and ‘Date attended from’ fields Fix any other error messages referring to

‘mm/dd/yyyy’ or ‘mm/yyyy’

Specifications

1 In the Colleges Attended section of the Education page, revise the error message for the

Date attended from field to the following:

College/University <#>: Date attended from is invalid or absent Must be a valid date with

a 4-digit year and cannot be more than one year after the current year.

2 In the Colleges Attended section of the Education page, revise the error messages for the

Date attended from and Date attended to fields to the following:

College/University <#>: Date attended to is invalid or absent Must be a valid date with a 4-digit year and cannot be more than one year after the current year.

3 Fix any other date-related error messages that contain obsolete references to ‘mm/dd/yyyy’ or

‘mm/yyyy’

2011-22 Add Test Option for Email Tasks

Could we add a test feature to the email task setup that would allow us to send the email to a specified address so we can check the formatting Currently, this cannot be done except by triggering the email in beta, either by submitting or starting an application

2011-24 Use Day-Before-Term-Start as Residency Reference

Requestor: Kathy King, Santa Rosa, 5/10/10

Problem Statement

CCCApply should be asking for parent/guardian info from all applicants who are under 19 on theday before the term start date, rather than on the term start date, per section 54002 of the Ed Code:

“Residence determination date" is that day immediately preceding the opening day of instruction

of the quarter, semester, or other session as set by the district governing board, during which the student proposes to attend a college.

2011-27 Increase Visibility of Spanish/English Toggle

Problem Statement

The text link for the Spanish/English toggle is so small, it is hardly visible, I found it difficult to locate it until it was pointed out to me I made several recommendations to have the font made BIGGER, every year I pointed out at the yearly CCCApply workshop I recently made my own decision to make my own adjustments and include the wording in the Notice to Applicants I see that this has increased the number of Spanish applicants

Solution Request

Increase the font size for the Spanish/English toggle Also, add a color other than blue to draw attention to the toggle

1 For all application pages, modify the Spanish/English toggle by increasing the font size,

adding another color, and increasing separation from other elements, as shown below

(Note: We are open to other design options, such as using a button for the toggle.)

2011-30 Comply with Federal Higher Education Opportunity Act

It appears that the CCCApply application doesn’t block students from selecting “Received high school diploma” and then listing a foreign high school A student who attended a foreign high school should select “Received a diploma/certificate of graduation from a Foreign secondary school” Should error checking block some responses when the HS is foreign?

Clarify the wording of menu options for High School Education Level Do not add any error checking at this time

2011-38 Require Middle Name in Account Creation and ApplicationRequestors: Xap, Steering Committee

Problem Statement

As part of the BRD for changes to the Account Finder, Xap proposed to make the Middle Name

a required field The Steering Committee agreed, with the provision that there needed to be a ‘no middle name’ checkbox for those who do not have a middle name Because the reason for this change is to strengthen account matching and account recovery, the First Name and Middle Name need to be required in both Account Creation and the CCCApply application

Since the Account Finder changes (and the related implementation of an Account Profile

function) have been delayed, it was decided that requiring the Middle Name would be

2011-39 Change Required Fields for International Addresses

Requestors: Mark Howell

Spanish Translation Required: No

Problem Statement

Currently, for international addresses on the CCCApply Standard Application, the field

requirements are: City — optional; State/Province — required; Postal Code — required

This is the opposite of the requirements for PESC XML, which are: City — required;

State/Province — optional; Postal Code — optional

The PESC XML requirements make more sense It is unlikely that all countries will have

states/provinces (Vatican City or Monaco, for example), and some might not use Postal Codes

 Change City from optional to required

 Change State/Province from required to optional

 Change Postal Code from required to optional

2 If the City field is left blank, generate the same error messages as for U.S addresses:

Current mailing address: You must specify the city.

[Spanish: Dirección postal actual: Especifique la ciudad.]

Problem Statement

Several issues have arisen regarding the CCCApply Residency pages and the Residency

Algorithm The Steering Committee has determined that some of these issues need to be

addressed ASAP, and that it would be most efficient to bundle all of the residency-related

changes into a single Change Order

Issues addressed in this Change Order are:

 2011-30: Modify residency questions and algorithm in accordance with Federal Higher Education Opportunity Act

 2011-15: Remove error check on Residency 2 page that disallows a Yes to ‘Lived in

California for 2 years’ in conjunction with a Yes to any of the out-of-state activity (aka

contra-indicator) questions

 2011-24: Clarify that the day before the start of term is to be used as the reference date

for residency determination, and adjust residency calculations as necessary

 2011-BUG03: Move the residency calculation to the Submittal page to prevent incorrect residency status and flags

Solution Request

Address all of the issues listed above as indicated in the Specifications section

1 On the Residency 2 page: For each of the questions in the Out-of-State Activities section,

remove the error checking that disallows a Yes answer in conjunction with a Yes to ‘Lived in California for 2 years’ In other words, remove error logic for the following conditions:

B Issue 2011-30

2 On the Residency 1 page, revise the section for U.S Military / Dependent of Military

Status as follows See Figure A-1 for an illustration of the section with revisions made.

a In the drop-down menu for the first question, change the second option from

“Dependent of currently active military” to “Dependent spouse or child of currently active military”

b Remove the last question in the section: “If stationed in California, is the Duty for educational purposes ONLY?” When the Residency 1 page is saved, make the

corresponding database field (militaryInCAForEducation) blank.

c Above the question for “Home of Record”, add a new question: “State of legal

residence (military)” Provide a menu of responses that is the same as for “Home of

record” Store these responses in a new database field, militaryLegalResidence

d Revise the wording between the first set of two questions and the final set of four questions as follows:

If you are currently active in the U.S military, or were discharged within the last year, answer the following questions about yourself.

If you are a dependent spouse or child of an active member of the U.S military, answer the following questions about your spouse or parent in the military.

Military Home and Legal Residence Help

State of Legal Residence and Home of Record

In the military, your "State of legal residence" (also called "domicile") is the place you consider as your true, fixed, and permanent home It is the state to which you officially intend to return after your military service.

"Home of record" is almost always the state where you first joined the military “Home of record” is an accounting term used by the military to determine a number of military benefits, such as travel allowances, transportation expenses, travel time to report to duty, etc.

“Home of record” and “State of legal residence” are usually the same, because most people joining the military do so in the state that is their legal residence However, “Home

of record” and “State of legal residence” need not be the same.

b In the logic that determines whether one of the checkboxes must (or must not) be checked, use the day before the term start date (rather than the term start date) as the reference date In other words, anyone who will be under 19 on the day before the start-of-term must check one of the checkboxes, and anyone who will be 19 or over

on the day before the start-of-term must not check one of the checkboxes.

c Modify the error messages relating to incorrect checkboxes accordingly:

You must check the appropriate Parent/Guardian checkbox if you will be under 19 years
