Purchasing is the organized acquisition of products and services on behalf of the buying entity Purchasing activities are needed to ensure that needed objects are acquired in a timely manner and at a reasonable cost A purchasing department is especially important in a manufacturing business, where large amounts of materials, components, products must be obtained on a recurring basis
Purchasing plays an important role in meeting supply and demand for businesses as well as the market with the main purposes of the department is to help the company plan to source goods that meet the company's business standards and the best prices besides, that is payment, warehousing, and associated activities Procurement can take place at home or abroad For foreign buyers, this is a step in economic integration, improving quality, and meeting demand

Chief Commercial Officer: identify and develop business opportunities and
manage the profitability of projects
- Purchansing Department: purchase, handle documents related to goods, seek providers
- Sales Depaertment: take responsibility for the sales and marketing team are setting realistic sales goals

2.1 The task are performed during the internship
During my internship, I was fortunate to work in the purchasing department This is the important part of the company because there is the part that provides products, meets the requirements of the business so that the business can operate smoothly After 4 weeks of working here with helped a lot of colleagues that have helped me improve my knowledge and gain experience
Main activities which I experienced
- Seeking Product - Supplier Analysis:
Purchasing staff have to purchase products to meet the requirements of the business, also have to carry out the process of searching for inputs that match the company's criteria The purchasing department needs to search suppliers, analyze the market, compare many suppliers to set a list of potential suppliers
- Paperwork & Payment
The Purchasing Department handles all paperwork related to purchasing and delivery of supplies, machines, and equipment Purchasing guarantees timely delivery of products from suppliers, creating and tracking purchase orders, and working with goods receipt and payable departments to ensure deliveries are received
in full and paid on time At the same time, coordinate with the accounting department
to ensure stable cash flow to be paid on
- Doing Coordination among Department
The purchasing department needs to work in harmony with other departments such as the warehouse to capture the stock to place orders accordingly, the market department to capture customer needs, the accounting department to stabilize financial determination

2.2 Difficulties and lessons learned
Internship time is a very valuable thing in the process of studying at university
it provides real-world experiences and creates opportunities to apply acquired knowledge The same goes for internships in the purchasing department in T.N.P Industries Company Limited After a one-month internship at the unit, I also learned the lessons, and the difficulties still existed
2.2.1 Difficultes
It is really difficult to schedule enough time for the tasks I am assigned to tasks that need to be completed before the deadline, but I am not competent with the work and make mistakes in the working process, which makes me always not have enough time to complete the assigned tasks That makes me always work under pressure in the beginning
The initial composing emails and style in emails was also a big problem for
me When working, I have to regularly send emails to partners as well as other departments, but the problem is that I make too many mistakes in the form of the letter as well as the long speech that affects the reader That is a very important influence in the working process
I lack experience and knowledge especially about paperwork I have to study and work with a large amount of knowledge that I cannot absorb at the same time
Communication at work is also a big obstacle for me, especially negotiating with clients That requires formal, concise, targeted communication but still conveys all the necessary information

2.2.2 Lessons learned
After a month of working at the internship position, I have learned the following lessons:
Initially, I have basic knowledge and experience in the purchasing department that helps me to be firmer in the future as well as the ability to accept challenges
Next, actively cultivate and learn about advanced industry knowledge as well
as work-related knowledge Especially, I overcame mistakes in letter composition as well as expression
The third lesson is knowing how to organize time and prioritize work Each department has a lot of tasks to complete, so it is necessary to learn how to arrange them properly so as not to delay the department and affect others
Next is to make use of available "living resources" "Living resources" are colleagues next to you They are experienced and knowledgeable Don't hesitate to ask for advice or help because it will help you a lot
Finally, it's about improving soft skills In an office environment, good soft skills are an advantage, for example, good communication and understanding of company culture When communicating well along with an understanding of corporate culture, will help you have a good relationship with colleagues and be more favorable at work

3.1 The reality of using English at the company
T.N.P Industries Company Limited is a purchasing unit whose main partners are foreign companies such as Sweden, Thailand, China, etc., so the use of English
in the working process is indispensable Especially the staff in the purchasing department because they are the ones who directly work with foreign partners The job requires using English fluently to introduce products, negotiate contracts, process payments, Working in a professional environment has helped me improve my English ability, also get used to the office, and practice more professional skills
Besides that, there are still difficulties Although the company cooperates with many foreign parties, there are still employees who are weak in English - English is not fully used in the workplace Because these employees have little contact with documents or negotiate partners, several emergencies have put them in a struggling situation
Although using English texts and emails for daily transactions, there are still basic mistakes These errors often appear in emails communicating with partners due
to a subjective part of longtime employees who do not pay attention, neglect, or because of the habit of passing each other from one person to another even mistakes
in grammar, spelling, letter form, etc
The staffs have trouble with translation, especially highly specialized words This is still common among staff who have experience with new terms or have not been exposed, they are easily mistranslated or misinterpreted because they do not understand well This is even more evident in new employees who have little experience and have not had much exposure to the industry
3.2 Suggest solutions for using English in the company
Being aware of the importance of English at work, and having pointed out the problems that businesses are facing, there are some suggestions that I hope will help the company as well as the purchasing department
