2.3 Organizational structure of E.I Freight Forwarding Co., Ltd
Through long-term practical activities, the company has been improved, changed, and chosen an appropriate organizational structure. This organizational structure shows a clear distinction about the rights and responsibility as well as the relationship between board of director and other departments.

2.3.2 Functions and duties of departments
District Manager
- As a leader has the right to final decision regarding implementation monitored all activities of the company, such as organization management, personnel arrangements, work planning, planning in management accounting and check financial activities of the company.
- District Manager is also responsible for the highest performance in business; manage staff training program as well as other matters of the company.
Information system
- Research and recommend organizational structure in accordance with the functions and duties to achieve the highest efficiency to the board of director.
- Manage, preserve, and store personal information of employees and organizations to build a suitable system for salary and bonus.
- Preserve asset, security and store the written papers.
- IS department has a function of creating personal account for employees to access to system; manage networked global computer system.
Sales
- Searching customers, setting up and organizing sale promotion program - Planning and implementing marketing program for the company
Accounting
- Take responsibility for set up expenditure plan that is suitable with the finance statement of company. Strictly implement the statistics, accounting in accordance with law of the State.
- Analyzing the financial ratios to reflect the financial situation of the company in order to serving better for board of director in making decision.
Import And Export department
- Ocean export: specialize in order of exporting commodities by ocean - Ocean Import: take responsibility for order of exporting commodities that
are nominated by foreign customer by ocean.
21 - Air Export: specialize in importing cargo by air
- Air Import: specialize in exporting cargo by air
- Order Management: be responsible for checking document’s cargo, arrange schedules for goods, avoid accumulation, and warehouse cost.
- Customs Brokerage: execute documents, customs procedures and customs clearance of exports and imports.
Account management
- This department plays an important role in the company. With major customer, this department undertakes for planning customer care program, set out sale policy in order to meet customer’s satisfaction with services of company.
Distribution
- Specialize in warehouse storage service to distribute goods by the request of foreign customer or domestic customer.

22 The personnel allocation table shows that the forces of female staffs dominate in the organizational structure of the company (made up 66.1%). The company has young staffs (under 30 year old accounted for 64.41%) and quantity of postgraduates is high (accounted for 71.19% of total employees). Furthermore, 100% of sale staffs has bachelor’s degree, but staffs has master degree is still limited (6.78%). It is clear that human resource of company has professional qualification, be educated, young, dynamic, work enthusiastically, high sense of responsibility, desire to learn, and quickly to adapt. These are necessary and respectful qualities of company’s employees.
For most enterprises, the workforce is an invaluable asset. At Expeditors in general and E.I Vietnam in particular, human resources play an important role in today’s achievement of the company.
Employees were selected carefully from prestigious universities in the major of business administration, foreign trade. Process of recruitment is set up strictly, candidates must undergo a multiple choice test and three round of interview with human resource manager, manager of department and district director. All is standardized in English.
The company constantly improves professional skills of employees through training program, course in many different areas, or may be a class by the head of company to get more knowledge for serving better their work.
In addition, the board of director often interested in material life as well as employee morale. To help employees relieve stress after working hours, a picnic is often celebrated.
Furthermore, the company offers an internship for senior student. This special policy helps students have a change to work in a practical environment and get more experience for their future job. In the other hand, this is also a source for the company recruit new staff.
