3.2 Recommendation to improve consignment delivery shipping procedure at GVLink

3.2.1 Recommendation to improve the company's employees Proposal basis:

- Errors and inconsistencies in the electronic customs declaration process using Ecuss5 software and discrepancies in goods documents.

- Due to the small number of employees, there is a situation where many employees have to perform each other's tasks in the service process.

Recommendation:

When receiving customer documents, the department must check the completeness and compare each document carefully. Any deficiencies or discrepancies in the papers must be identified and quickly contacted by the customer to supplement and modify them.

The company must create many opportunities and encourage employees to improve their foreign language skills. There should be policies to create conditions for employees to study comfortably. In addition, the company should regularly supplement knowledge through vocational training sessions organized by the company or support employees to look at centres.

The company should set standards for the time allocation for each specific job.

Check the quality of the entire process. Strengthening labour and specializing in work will help employees develop their fields. From there, completing the work will be more accurate and easier to manage.

3.2.2 Recommendation for Infrastructure Proposal basis:

The system of vehicles and warehouses is not enough to meet the demand during high service. The company is passive in renting transport vehicles - container tractors and the rental service price is unstable, causing cost losses.

Recommendation:

Allocate investment costs to vehicles and equipment to better serve the loading and preservation of goods, such as tractors, forklifts, and pallets, or strengthen cooperation relationships with rental transport services to limit the situation of "lost goods" when lacking container trucks.

Expand the area of existing warehouses in Da Nang City and upgrade warehouses for better storage of goods. Modern warehouse systems help the company save costs, reduce damage, and improve service quality.

3.2.3 Recommendation for expanding the market Recommendation basis:

To approach new and potential customers, market research has not been pushed because of the overloaded workload - the company trades wholesale equipment and machine parts but also provides logistics services and imports and exports goods.

Recommendation:

Strengthen marketing activities, and promote the company's image in media such as newspapers, websites, etc. Currently, the company does not have a specific website, so it needs to create one to make it easier for customers to search for information and contact the company. Once the company has its website, it needs to change the content, add more features, post more articles about its activities, and update the latest legal tax documents for customers to edit quickly.

The company must always research competitors, strengths and weaknesses to find competitive methods. Set a goal to increase the company's reputation by delivering goods on time to customers.

3.2.4 Recommendation for minimizing costs Recommendation basis:

Many import-export businesses and forwarders have been and will continue to be competitors of the company. Hence, minimizing costs helps the company stand firm while providing the best value service to customers.

Recommendation contents:

Take advantage of existing relationships with shipping lines or customs to reduce unnecessary costs and shorten the time for procedures at the port or terminal.

Paperwork and documents should be replaced by electronic systems instead of using the time and costs of employees to travel and transfer documents. This avoids time-consuming delays in submitting or obtaining paperwork and documents.

The company should offer a comprehensive service package to make it convenient for customers. Commit to stable prices but still be flexible when negotiating with customers. To stabilize prices in the fiercely competitive situation, the company should seek low-cost transportation service providers that ensure quality and safety. Research other companies' shipping and delivery prices to develop a reasonable

business tariff. Adjust indirect costs by adding free utility services for customers.

These additional services may include advice on market information, international legal regulations, warehouse leasing services, export-import tax planning and liquidation services. This will attract a lot of interested customers.

3.2.5 Recommendations for Customers Recommendation basis:

Access to new and potential customers has not been strongly emphasized due to the overload of work volume. The company sells wholesale equipment and machine parts and provides delivery, import and export services.

Recommendation contents:

Have preferential policies for customers and constantly seek new customers.

Organize seminars between the company and customers to promote the brand and new services to customers and listen to customer opinions. Any complaints or concerns of customers must be explained and resolved correctly by the company's advisory team.

When receiving information about import and export needs, the company needs a plan to approach customers to create an initial impression, demonstrating a desire for long-term cooperation. After that, follow up regularly, answer questions, and provide support during the transportation and delivery process.
