Trang 1This study aimed to research the English oral communication problemsand solutions used by Dap Cau Garment Joint Stock Company exporting andimporting staff to communicate with business partners The participants inthis study were 6 exporting and importing staff of Logistics Department ofDap Cau Garment Joint Stock Company based in Bac Ninh, Viet Nam Theinstruments employed in this study were interview and observation It wasfound that exporting and importing staff when communicating with businesspartners had problems with listening comprehension and grammar usage,fluency, accents, producing word stress misplacement, cultural awareness andquality of voice The result also showed that the major common oralcommunication solutions used both the leadership and exporting andimporting staff were asking business customers directly of what they did notget, making clarification requests, paraphrasing and generalization

Trang 2Nowadays, Vietnam’s economy has many opportunities fordevelopment, the logistics service business is one of the potential economicdevelopment brings positive results for the country With the developingeconomy, logistics becomes a service that integrated many activities withhigh added value, bringing significant economic benefits Vietnam withfavorable business environment, high growth opportunities promising todevelop the service market in the near future
Development of logistics in low and middle income countries canpromote trade growth and benefit the whole business and quality assuranceservices However, the logistics industry of our country is still limited, so thatcan develop strongly need to consider many factors and developmentdirection Dap Cau Garment Joint Stock Company is one of the VietnamGarment Corporation which was born to meet the comprehensive strategy oflogistics services development of the country on the domestic and foreign Dap Cau Garment Joint Stock Company is investing in the logisticsindustry to expand the multimodal transportation service with high potential.Nevertheless, the staff’s skill must be professional enough in order to meetthe need of the logistics development of the company Especially in thedirectional exchange with the business partner, how to negotiate andcommunicate efficiently to obtain the successful transaction Despite thelimited skill in speaking and negotiating, at the present there are any thoroughmethod that helps improve their skill Therefore, the topic “Problems andsolutions for exporting and importing staff of Dap Cau Garment Joint StockCompany when negotiating and communicating with business partners” is theone that I extremely concern In this graduation paper I would like to bring aspecific view on problems and solutions for negotiation and communicationwith business partners in logistics work

On the basis of studying the communicating skills in logisticstransactions that Dap Cau Garment Joint Stock Company staff isimplementing, along with the effective method that logistics companies on theworld apply, I hope my research will help:
- Find problems related to oral communication of exporting andimporting staff of Dap Cau Garment Joint Stock Company whencommunicating with business partners
- Provide solutions to help DAGARCO develop appropriate andeffective strategies and measures for the development of communicatingskills for DAGARCO’s staff
- Improve the ability to communicate effectively with business partners

The type of communication that this research paper will focus on is oralcommunication Problems of oral communication derive from basicdifferences in values between cultures like America, Korea, Spain, …,problems when listening to the customers, negative attitudes interfere with thecommunication process, non verbal and verbal communication matters

Does the different culture affect to the conversation between exportingand importing staff of Dap Cau Garment Joint Stock Company and businesspartners ? If it does, could you explain the detail of the affection of differentculture factor ?

1.6.2 Observation
About the Observation, I spent one month in the recently internshipprocess to observe all the exporting and importing works such as: Contact tobusiness partner through mail, fax,…solve the exporting and importingdocuments, and especially the direct communication process in which thestaff negotiate and make the exporting and importing deals During theinternship time, with the permission of the director of DAGARCO, I wastaken to the transaction place in order to observe the process and skill ofcommunication with business partners When communicating with customers,they listened to their demands, analyzed the demands and send the analyzedinformation to the logistics department so that the staff could solve andprepare the papers, document and garment to meet the customer’s need Thedifference culture problem in communication was also solved with the skillfulmethod They also use eye contact skill fluently, the look the person in theeye to demonstrate that they are focused on the person and the conversation.They are of course be sure not to stare at the person, which can make him or

2.1.1 Exporting work
Exports are the goods and services produced in one country andpurchased by citizens of another country It doesn't matter what the good orservice is It doesn't matter how it is sent It can be shipped, sent by email, orcarried in personal luggage on a plane If it is produced domestically and sold
to someone from a foreign country, it is an export
2.1.2 Importing work
An import is a goods brought into a jurisdiction, especially across
a national border, from an external source The party bringing in the good iscalled an importer An import in the receiving country is an export from thesending country Importation and exportation are the defining financialtransactions of international trade
In international trade, the importation and exportation of goods arelimited by import quotas and mandates from the customs authority Theimporting and exporting jurisdictions may impose a tariff (tax) on the goods
In addition, the importation and exportation of goods are subject to tradeagreements between the importing and exporting jurisdictions
2.1.3 The duty of exporting and importing staff

Business Communication is goal oriented The rules, regulations andpolicies of a company have to be communicated to people within and outsidethe organization Business Communication is regulated by certain rules andnorms In early times, business communication was limited to paper-work,telephone calls etc But now with advent of technology, we have cell phones,video conferencing, emails, satellite communication to support businesscommunication Effective business communication helps in building goodwill

Business Communication can be of two types:
1 Oral Communication - An oral communication can be formal or
informal Generally business communication is a formal means ofcommunication, like : meetings, interviews, group discussion, speeches etc

2 Written Communication - Written means of business
communication includes - agenda, reports, manuals etc
Speaking or verbal communication is perhaps the most frequently usedway to get a message across at the workplace, and it includes meetings,presentations, workshops, in-person interviews, and telephonic and videoconferencing

This communication skill is best used in situations where establishing apersonal connection is important, such as conflict-resolution scenarios, team-building exercises and while selling a product But as more and morebusinesses go global and they work with partners, clients and customers allover the world, verbal communication is losing out to digital platforms
Writing is another powerful business communication skill, whichembraces the gamut from email, internal business memos, formal letters,bulletin boards, posters, flyers, PPTs etc Effective writing requires carefulchoice of words that send out a message cogently and accurately
This form of communication is reliable; it can be used to reach multipleindividuals all at once; and is the best way to convey technical information.Since it is precise and explicit, written communication is an effective tool toexplain complex concepts and to issue instructions It is unambiguous, andwhen the writer is articulate, he or she leaves no room for misinterpretation.Written communication also creates a paper trail for future reference and italso helps the legal teams of large companies do their job

to achieve the common goal of getting the job done and doing it effectively.Business communication could be internal, that is, within theorganisation between colleagues or between departments; or it could beexternal, for instance, a brand-building campaign for a company to shore upits image It could also include communicating with vendors, partnerorganisations, prospective clients or just the public at large
