CHAPTER 1: INTRODUCTION

1.1.Rationale

Viet Nam is being in the Period of opening gate Our country is striving tointegrate into the global development in various fields such as economy, culture,policy, education etc Therefore, recently, a number of foreign companies andorganizations have invested and established offices, factories and cultural exchangedens in many cities across the country With the desire to promote and polish brand’simage of the business in recent times, a new industry was born- Event organization.Even though it has just emerged and developed in a short time but it has showed anincredible development

Event organization is a field in which the company in charge has responsibility

to make the events happen in a perfect way for helping enterprises branding andproducts It also provides an opportunity for enterprises to meet and createrelationships with media or public authorities to strengthen good ties for enterprises

Organizing Events is not just a simple task This work includes hundreds ofjobs and requires high carefulness because just one small mistake can affect toorganizing group and harm to customer’s images and reputations of the company.Especially international events require organizers must have good knowledge aboutcultures, politics, and foreign language Thus, using English - the most internationallanguage fluently can help event editors work with foreign clients easily and enhancetheir own professional organizations as well as where they are working

However, to use English smoothly in this work is not easy at all, because this is

a new industry with many specialized words and varied in each stage of the work.Each stage is a set of words and different usages To get further understanding of thelanguage used in the event, I chose to study the subjects “Using English in organizingevents at Sao Minh Business Hotel”

With the goal of enhancing and developing skills in using English inOrganizing Events, the topic helps to improve the quality of services as well asprofessional qualifications of the Event editors

1.5 Theoretical background

1.5.1 Definition of Organizing Events

Event organizing is the process of planning festivals, ceremonies, competitions,parties, concerts, or conventions Event planning includes budgeting, establishing oralternating dates, selecting and reserving the event sites, acquiring permits (alcoholpermits, insurance licenses, etc.), coordinating transportation and parking Eventplanning also includes some or all of the things that depend on the event: developing atheme or motif for the event, arranging for speakers and alternate speakers,coordinating location support (such as electricity and other utilities), arranging decor,tables, chairs, tents, event support and security, catering, police, fire, portable toilets,parking, signage, emergency plans, health care professionals and aid stations, andcleanup

1.5.2 The Important Role of Using English in Organizing Event

Event Organizing is not simple work It is hard to hold the domestic events but

it is more difficult to do that internationally With a question: When organizing eventswith foreign partners, what is the prior we need? We need make a perfect plan,arrange, contact with the related factors and search a fixed place, etc However,without suitable language, it is hard for all that processes Together with culture offoreign partners, they do not accept the carelessness, errors even the smallest ones in

work Indeed, using international language – English - fluently helps to interact withpartners smoothly and effectively Certainly, if an expert in event organizing can getthe whole idea, which foreign partners want to transfer, the result will be definitelysatisfied

Moreover, an event organizer who is fluent in English will catch up many newthings in steps of preparation process from the vision to idea creation, and has capacity

to study more documents as well as events of other countries Furthermore, gettingexperiences and learning from the world - class events, the event editor will become to

be more professional and their job performances will develop incredibly Besides,using English well also helps event editors complete the important tasks such asdrafting contracts, service requests and related documents easily Therefore, it willhelp accelerate all progress of work as well as get the appreciation from foreignpartners

1.5.3 Lexical choice

1.5.3.1 Archaic words

These words are no longer in everyday use or have lost a particular meaning incurrent usage but sometimes they are used to impart an old-fashioned flavour to

historical novels or legal documents Some, such as hotchpotch, reveal the origin of

their current meaning, while others reveal the origin of a different modern word, as

with gentle, the sense of which is preserved in gentleman Some, such as learn and let,

now mean the opposite of their former use These archaic words often appear in anEnglish event contract:

The aforementioned/the foregoing : mentioned before, in an earlier sentence

The undermentioned : use in a book or document to refer to

something that mentioned later;

Hereinafter/hereafter : in the rest of this document

Synonyms are words with the same or similar meanings Words that aresynonyms are said to be synonymous, and the state of being a synonym iscalled synonymy Such as “terms and conditions”, “make and enter”, “null and void”

or “by and between”

1.5.3.3 Using a number of related couple of words

Common related couple of words:

Nouns with suffix -er/-or are normally used for giver and nouns with suffix –ee

are for taker in contract like:

Lessor (a person who gives somebody the use of a building) Lessee (a person who has use of a building)

Licensor (to give somebody official permission to do, own, or use

something)

Licensee (a person or company that has a licence to make something or

to use something)

1.5.3.4 Popular word with specialized meaning

In Event Contract, besides a common meaning some words also have aspecialized meaning

For example:

- Shall:

Universal meaning : Used with first person pronoun “I” and “We” for talking about

or predicting the future

Specialized meaning : Used with third person Pronoun to show something must to do

- Commission:

Universal meaning : An official group of people, who have been given responsibility

to control something

Specialized meaning : An amount of money that is paid to somebody for selling goods

- Party:

Universal meaning : A social gathering of invited guests, typically involving eating,

drinking, and entertainment

Specialized meaning: A person or people forming one side in an agreement or dispute

Adjective + noun, Noun + noun (such as collective nouns) Verb + noun,

Adverb + adjective, Verbs + prepositional phrase (phrasal verbs).

Verb + adverb

In event contract, they use two types of collocation: verb + noun and adjective+ noun (noun- contract)

For example:

- English verbs combined with noun “contract”:

· Make/sign/enter into a contract : ký kết hợp đồng

· Draw up a contract : thảo hợp đồng

· Breach/break a contract : vi phạm hợp đồng

1.5.3.6 Prepositions, phrases, prepositional phrases

Prepositions (or more generally ad positions, see below) are a grammaticallydistinct class of words whose most central members characteristically express spatial

or temporal relations (such as the English words in, under, towards, before) or serve tomark various syntactic functions and semantic roles (such as the English words of,for).In the primary function is relational, a preposition typically combines with anotherconstituent (called its complement) to form a prepositional phrase, relating the

complement to the context in which the phrase occurs.

Events Contracts often have prepositions like: “according to”, the phrases as

“pursuant to”, “subject to” , prepositional phrases as: “in accordance with” , “in compliance with” , “in pursuance with”, “in consideration of” , “in witness whereof/thereof”

1.5.4.1 Operative provisions

It is often expressed “The Parties Hereby Agree as follows …” or “Whereby it

is Agreed as follows …” or “now it is hereby agreed by and between the parties asfollows …”

1.5.4.2 Passive voice

The passive voice is a grammatical construction (specifically, a "voice") Thenoun or noun phrase that would be the object of an active sentence (such as our troopsdefeated the enemy) appears as the subject of a sentence with passive voice (e.g theenemy was defeated by our troops)

The subject of a sentence or clause featuring the passive voice typically denotesthe recipient of the action (the patient) rather than the performer (the agent) Thepassive voice in English is formed periphrastically: the usual form uses the auxiliaryverb be (or get) together with the past participle of the main verb

1.5.4.3 Reduced relative clause

Da Nang City From the hotel guests can walk to the luxurious restaurants,amusement parks or stroll along the banks of the Han River to enjoy the fresh airand admire the stunning architecture make icons the coastal city of bridges linkingthe two banks of the Han River that each bridge is the architectural styles anddifferent such as Thuan Phuoc Bridge, Han River Bridge, Dragon Bridge, Tran Thi

2.1.4 Banquet Event Oder Department

Banquet Event Oder - Sales Department is one of the most importantdepartments in 12 departments of So Minh Business Hotel Beside planning andorganizing an event, it also has sale and marketing function That mean all duties such

as finding customer, selling services, negotiating and drawing up contract belongs tothis department

In the first stage (the first week – from 24 th February to 3 rd March):

I got acquainted with people in the department I have learned internalregulation of hotel and my department I was introduced about the main functions ofdepartment and about my job in internship period Then the staffs guided me how tocontact with other department in the hotel and steps to organizing an event.

In the second stage (the next 2 weeks–from 3 rd March to 17 th March):

I also had the task of arranging, searching and receiving informations, eventcontracts and sales of the hotel I have practiced drawing up an event and salescontract At first, I read and learnt some form of hotel’s contracts then I edited newcontract basing on form of hotel’s contract and depending on requests of customersand terms and conditions of hotel Finally, the leader of department checked thecontract for me

In the third stage (the next 3 weeks – from 17 th March to 7 th April):

I made an event plan Firstly, I received customer’s request about an event fromthe leader Then, I made some ideas about how to organize event include Décor, Stage,Hall, Food, Light and Sound System etc Continuously, I discussed the ideas with mygroup (staffs in department) to decide which were the best ideas for an event Finally,

we divided the plan into many parts; each person carried out a specific piece My jobwas contacting with other departments - Kitchen, Restaurants, Housekeeping,Reception to take and confirm information or checking the status of the event to makesure it was taken place as planned Besides, I also had a duty to design, handle someimages, logos used in events and some other design of the hotel

In the last stage (the 2 last week from 7 th April to 20 April):

I researched the information from the real situation and took note them Idiscussed some experience I had learned during the internship with Mrs.Trang andcollected the necessary for my report Finally, I arranged the ideas and wrote thereport

2.3 Findings and discussions

2.3.1 Sentence Types And Lexical Choice In Event Contract

Beginning with a job of event organizing, the prior task is signing tradecontracts in order to guarantee both group of event organizing and customers Ingeneral view, it is an easy step but actually is an important one Because of when

having a tiny error, the loss of group or political backwards will be happened.Especially, the biggest obstacle in working with foreign partners is the language, theevent production and organization team should pay more attention to each step ofdrafting and translating contracts to ensure the accuracy.

Event contracts are legal and essential documents for international transactions

In order to have fully understanding of event contracts’ content, firstly, the eventeditor must have a deep knowledge into how English event contracts are structuredand worded As one of the varieties of legal texts, Event contracts not only share many

of those characteristics, but also contain certain others that may be unique to theirgenre The paper presents the structure of sentence types and lexical choice, whichevent editors are likely to encounter when reading event contracts

Working as an event editor’s assistant at Sao Minh Business Hotel , I cancompare the theory that I learnt at school and the practice Because one of my duties isrelated to event information and event contract, so I could recognize the variety ofsentence types and lexis in event contracts

2.3.2 Lexis

2.3.2.1 Archaic words

Archaic words seldom appear in common English document However, they areoften used in Legal document, contract, agreement etc

Have a look at such examples as:

This agreement contains the entire agreement between the parties with respect

to the subject matter hereof… (Contract 2 nd - page 14- section 4).

The word “Hereof” in this sentence means that this agreement contains theentire agreement between the parties with respect to the subject matter mentionedbefore

The English language version of this contract will be legally binding in case of

any inconsistencies between this English version and any translation thereof.

The word “thereof” in this sentence means that the English language version ofthis contract will be legally binding in case of any inconsistencies between this Englishversion and any translation related
