Introduction

Rationale for Topic Selection

The retail industry has become essential to daily life, encompassing everything from small shops to large chains Effective inventory management and goods receipt processes are crucial for maintaining stability, efficiency, and competitiveness in this sector However, the industry is experiencing significant transformations driven by technological advancements and evolving consumer shopping behaviors Retailers are confronted with heightened competitive pressures, swift shifts in shopping trends, and rising customer expectations.

The retail landscape in Vietnam presents both challenges and opportunities for businesses in the importing and inventory management processes Small stores face resource limitations, hindering their ability to invest in advanced management systems, which forces them to rely on manual methods Conversely, larger supermarkets, retail chains, and shopping centers benefit from economies of scale and a wider variety of products, often employing sophisticated inventory management systems to effectively balance supply and demand.

Effective inventory management is crucial for all businesses, as they face various challenges in importing goods and controlling stock levels Poor inventory management can result in inadequate stock to meet demand, leading to wastage and excessive storage costs, ultimately harming profitability Different types of businesses encounter unique inventory challenges; for example, supermarkets manage large and diverse inventories, while convenience stores must optimize limited space for ready-to-sell goods Additionally, grocery stores often grapple with inventory management for short-term products, highlighting the importance of tailored strategies for effective inventory control.

In today's competitive business landscape, effective inventory management and streamlined import processes are crucial for the success of retail businesses This article analyzes the importation and inventory control methods employed by three types of retail establishments—supermarkets, convenience stores, and grocery stores—in District 8, Ho Chi Minh City By examining these processes, we aim to provide recommendations for enhancing and developing more efficient systems within these retail sectors.

Analyzing inventory management across three distinct retail business types—supermarkets, convenience stores, and grocery stores—highlights the diversity and critical aspects of this practice in the retail sector Each business type has unique characteristics, including scale, product offerings, and management styles, which contribute to specific challenges In Vietnam, these three retail formats play a significant role in shaping the market landscape.

Ho Chi Minh City's District 8 exemplifies the diverse retail landscape, highlighting how inventory management varies across different industries Supermarkets operate on a large scale, offering a wide range of products, while convenience stores focus on daily essentials in a more compact setting Grocery stores strike a balance, providing a diverse selection but on a smaller scale Effective inventory management must be tailored to these varying sizes and scopes By analyzing three distinct retail types, we can deepen our understanding of the retail industry's complexity and develop suitable management strategies for each unique context.

Research Objectives

The primary goal of this study is to identify the key factors affecting the goods receipt process in various entities, such as supermarkets, convenience stores, and grocery stores, located in District 8, Ho Chi Minh City Following this analysis, a comparative evaluation will be conducted to ascertain which factors have the most significant influence on the inventory process.

The second objective focuses on examining the factors that influence inventory control to enhance efficiency and maximize profits for businesses in District 8, Ho Chi Minh City This analysis seeks to empower businesses to optimize their resources, including storage space and capital.

The third objective of this research is to analyze and compare various entities to derive conclusions and new insights It aims to propose optimal solutions and recommendations for inventory management specifically tailored for domestic retail businesses in Vietnam, with a focus on Ho Chi Minh City.

The primary goal is to ensure customer satisfaction and fulfill product demand by implementing a precise and efficient goods receipt process, which guarantees that products are consistently available for customers whenever required.

Study Population and Scope

The research was conducted based on a survey with relevant entities within the scope of this project, including three main subjects, specifically:

Bach hoa XANH (BHX) is a mini supermarket chain that was established in late 2015, specializing in fresh food and essential items For our research, we focused on the BHX location at 336 Ta Quang Buu, Ward 10, District 8, Ho Chi Minh City, to analyze the retail warehouse process.

Circle K is a prominent foreign-branded convenience store chain that commands a significant share of Vietnam's retail market This analysis focuses on the retail inventory process at the Circle K location situated at 643 Ta Quang Buu Street, Ward 4, District 8, Ho Chi Minh City.

Grocery Store: In this category, our group observed the current trend in the retail market divided into two types, including:

Traditional grocery stores are characterized by their compact layout, creating a friendly and intimate shopping experience Our team conducted a survey of two grocery stores of varying sizes: Bao Ngoc, a mid-range store situated in Pham The Hien market in Ward 4, District 8, and Trung Hieu, a local retail grocery located at 873 Ba Dinh in Ward 10, District 8.

Modern grocery stores prioritize open layouts and thoughtful arrangements to enhance customer convenience and comfort This report focuses on Colling Foods, located at 99 Ben Binh Dong, Ward 11, District 8, within the Felisa Riverside apartment building in Ho Chi Minh City.

This study examines the goods receipt process and inventory control in three types of retail businesses—supermarkets, convenience stores, and grocery stores—in District 8, Ho Chi Minh City It focuses on comparing and analyzing key elements of these processes across each store, aiming to identify factors that can enhance and develop business operations.

The research was conducted from May 5, 2023, to May 20, 2023, in District 8,

Ho Chi Minh City During this period, our group surveyed and carefully selected representative entities for each type of store that our group had identified.

Research Methodology

Our group conducted a field survey by observing each entity to gather essential information We synthesized data from the operational processes of various stores, particularly focusing on their responses to different situations and environmental changes This allowed us to make comparisons that helped verify our hypotheses and assess the solutions implemented by the stores The verification process is crucial for developing tailored recommendations and optimizing operational capacities, particularly in relation to the warehousing practices of the surveyed entities.

Our group employs a qualitative research method to gather data on the goods receipt process and inventory management at various stores We utilize survey questions and conduct observations of operational methods within the subject group This approach enhances our understanding and analysis of each store's inventory control processes Each observation period is estimated to last 7 days, during which we conduct interviews with both employees and managers.

Scientific and Practical Significance

The research not only accomplishes the stated research objectives but also constitutes a noteworthy contribution to the existing body of knowledge, with significant implications for both scientific and practical domains.

This research synthesizes key factors in inventory management within the retail sector, highlighting the advantages and disadvantages of various inventory types in relation to sales scale and business development It focuses on financial and human resource implications, proposing process improvements and optimizations Additionally, the study serves as a foundational reference for future research, encouraging further exploration of inventory and goods receipt management The findings also contribute to the diversification of sustainable development goals and the application of technology in retail businesses.

This research offers a detailed analysis of goods receipt and inventory management processes in retail, proposing enhancements and insights into emerging trends that align with global economic developments By examining the current state of retail, it aids managers in formulating effective operational policies to boost efficiency, foster consumer trust, and mitigate the environmental impact of the industry Emphasizing the importance of ESG (Environment - Social - Governance) standards, particularly in Ho Chi Minh City, the study discusses strategies for achieving sustainable development goals, such as reducing food waste and promoting recycling Furthermore, it highlights the role of technology in helping retail businesses adapt to the digitalization trend, particularly amidst the rise of e-commerce and artificial intelligence.

Structure of the Research

The research structure consists of 5 chapters, each focusing on a specific aspect to provide a multi-dimensional and comprehensive view of the topic.

Chapter 1: titled “Introduction”, provides a comprehensive overview of the research, including an explanation of the topic selection based on practical and theoretical! considerations This chapter describes the research objectives, subjects, scope, and the research methods applied Additionally, the chapter discusses the scientific and practical significance of the research and provides the overall structure.

Chapter 2: titled “Literature Review and Research Model", focuses on the theories used in the research, lists the key concepts, and provides an overview of previous studies The chapter also highlights the real situation of the research problem domestically and internationally.

Chapter 3: titled “Research Methodology", concentrates on the research process and qualitative research method It also details the field survey process and analyzes the survey results based on the qualitative research method at selected locations.

Chapter 4: titled “Data Analysis and Results", this chapter provides analyses and evaluations of the inventory management process and technology, laying the foundation for the conclusions and recommendations in the following chapter.

Chapter 5: titled “Conclusion and Recommendations", evaluates the effectiveness of the presented warehouse services, and concludes the entire research It proposes management implications and reasonable recommendations while self assessing the limitations of the topic and suggesting future research directions.

A mini supermarket is a self-service store that offers a wide variety of food, beverages, and household products, organized into distinct sections While it provides more choices than a typical convenience store, it is smaller and has a more limited selection compared to larger supermarkets Mini supermarkets typically include areas for fresh meat, produce, dairy, frozen foods, and baked goods Additionally, they allocate shelf space for canned goods and non-food items like kitchen supplies, cleaning agents, pharmaceuticals, and pet products Many mini supermarkets also stock frequently purchased household items, including alcohol (where allowed), medications, clothing, DVDs, games, and seasonal goods.

A convenience store is a compact retail outlet that offers a range of everyday essentials, including groceries, snacks, personal care items, and beverages Unlike general stores or traditional grocery stores, convenience stores are typically situated in urban areas, serving as a quick supplement to larger retailers While they may have a limited selection compared to supermarkets, often featuring only one or two options for various products, they provide the advantage of accessibility and shorter checkout lines Although prices are generally higher than those at grocery stores, the convenience of ready-to-eat meals and available seating attracts customers seeking a fast shopping experience.

A grocery store is a small-scale retail establishment that operates similarly to a traditional grocery store, offering a diverse range of essential goods for daily life It stocks dry goods, household items, and essentials such as toothpaste, dish soap, laundry detergent, and toilet paper, along with office supplies like pens, pencils, and notebooks Unlike larger grocery stores, convenience stores are smaller and typically offer lower prices, providing customers with a more accessible shopping experience.

As a crucial component of the supply chain, retail businesses play a vital role in connecting manufacturers with consumers, facilitating the exchange of goods and services Retailers engage with suppliers to purchase products in bulk, which are then sold in smaller quantities to customers, generating a profit Through negotiations with manufacturers, businesses can offer a diverse range of products to consumers, catering to various needs and preferences This encompasses a wide array of retail business types, including supermarkets, convenience stores, grocery stores, pharmacies, e-commerce stores, clothing stores, and discount stores, among others.

The warehouse process involves the storage and preparation of goods for future distribution, with a warehouse serving as a centralized location for accumulating products This process is essential for import-export businesses, transportation, and manufacturing, as it enables effective inventory management and timely order fulfillment By organizing goods in one place, businesses can reduce costs and enhance productivity Each company tailors its warehouse process to align with its specific business model, ensuring that all operations adhere to this framework.

Integrating logistics and warehouses is vital for connecting consumers and producers, as it enhances the speed of product distribution through an efficient logistics chain Effective warehouse management is crucial for maintaining inventory levels and ensuring product availability during peak demand With the rise of e-commerce, the need for warehouses has surged, as they not only provide essential storage space but also streamline packaging, assembly, and retrieval processes to expedite delivery.

The warehouse market is experiencing significant growth due to the rising demand for storage space, fueled by the expanding e-commerce sector and an increasing number of traders Contributing factors include population growth and higher household incomes, which amplify the need for storage solutions Furthermore, the surge in internet users and online sales continues to drive the expansion of e-commerce, further enhancing the demand for warehouse facilities.

The Asia-Pacific region is set to maintain its leadership in the global warehouse market from 2022 to 2030, driven primarily by China's robust economy, followed closely by India The Chinese central government is focusing on enhancing regional trade and improving domestic logistics systems, further solidifying the area's dominance in the industry.

Governments are strategically relocating essential logistics centers across the country, backed by significant investment and financial support In a notable expansion, China increased its number of announced logistics centers from 23 in 2019 to an additional 22 cities in 2020.

In today's global market, retailers are selecting warehouse models and operational methods that align with their business scale and type With the rise of technological advancements, many are shifting towards automated warehouses equipped with modern inventory management technologies, enabling them to reduce labor costs effectively.

Vietnam's dynamic population and expanding economy are driving the growth of its middle class, which in turn supports the burgeoning warehouse sector in Southeast Asia The country's diverse warehouse types, including public and private facilities, cold storage, and container yards, are vital for sustaining Vietnam's economic development Increasing public-private partnerships enable businesses to broaden their logistics services, encompassing transportation, inventory management, and customer support The entry of major players, such as GLP's recent $1.5 billion joint venture, further bolsters the growth of Vietnam's warehouse industry.

The study is conducted in two stages: Field Survey and Analysis of Survey Results.

In the process of conducting a field survey, it is essential to establish a list of targeted research locations This includes identifying key sites such as the Bach Hoa XANH convenience store, Circle K convenience store, the modem grocery store Colling Foods, the mid-range grocery store Bao Ngoc, and the Trung Hieu retail household.

Effective data collection involves conducting site visits, taking detailed notes, and gathering essential information at each location This process includes documenting key factors related to inventory input and management, such as receiving procedures, storage methods, inventory counting techniques, new order placement processes, and procedures for handling price changes.

3.1.2 Analysis of On-site Survey Results

Data synthesis: Compiling and organizing data collected from the five research locations Evaluating the similarities and differences between the inventory input and management methods of each location.

Creating input flowcharts for various retail models, transportation methods, and types of imported goods based on survey data enhances the visual presentation of data This process allows for a comprehensive assessment of the strengths of the technologies utilized at each location.

Analyzing survey results allows for the identification of strengths and weaknesses in the inventory input and management process at each location This analysis highlights areas requiring improvement and showcases effective practices that can be adopted.

This study investigates inventory management and stock control processes within retail businesses in District 8, Ho Chi Minh City Due to the diverse nature of retail operations in the area, a comprehensive survey of the entire population is impractical As a result, the research team has chosen a representative sample for qualitative analysis.

The research team began by surveying retail businesses in District 8 to collect relevant data Following this, they carefully selected a group of businesses that met specific criteria to participate in the study.

4.1.1 Mini Supermarket - Bach Hoa XANH

Bach Hoa XANH (BHX) is a new mini supermarket chain formed at the end of

Founded in 2015, Bach Hoa XANH is a supermarket chain under Mobile World Joint Stock Company, specializing in fresh food and essential products With nearly 2,000 stores across Southern, Eastern, and South Central provinces, the size of these green department stores varies by location Initially, the Mini XANH stores were around 150 m², but as CEO Mr Tran Kinh Doanh noted, the target customers are primarily those commuting home after work To enhance visibility and attract more shoppers, since 2018, the chain has focused on opening larger stores along main roads, resulting in an average store size of 200 m², with some locations exceeding 300 m² to better accommodate increasing customer demand.

The Bach Hoa XANH store selected for the research on the retail warehouse process is located at 336 Ta Quang Buu, Ward 10, District 8, Ho Chi Minh City This store spans an area of 300 m², classifying it as a large retail outlet, with the warehouse occupying approximately 30% of the total space.

Mr Doanh believes that larger stores located on main roads and near markets attract more customers The Bach Hoa XANH store, situated on the busy Ta Quang Buu street in District 8, benefits from its prime location, drawing in a significant customer base and generating desired revenue for the supermarket chain With an expansive area of over 200 m², excluding the warehouse, the store is equipped with full air conditioning and a well-organized layout, allowing it to comfortably accommodate 50 to 70 customers Shoppers can enjoy a pleasant experience while selecting a wide range of products, from frozen and fresh items to general dry goods.

4.1.1.2 Allocation of items at Bach Hoa XANH

Bach Hoa XANH combines a market and a grocer}' store in its business model, so the items at Bach Hoa XANH are diverse from product type to design:

Frozen fresh food is a key revenue driver for Bach Hoa XANH, representing a significant portion of their total product offerings This category includes a variety of items such as meat, fish, eggs, seafood, and prepared frozen foods To maintain optimal freshness, BHX utilizes two refrigerators set between 0-4 degrees Celsius, ensuring proper preservation throughout the day Additionally, the store features a food processing counter, allowing for customized food preparation to meet customer preferences and enhance satisfaction.

BHX offers a wide selection of fresh food, including fruits, vegetables, fish, and meat, all at affordable prices, making it a favorite among discerning housewives The store features three two-story shelves dedicated to these items: one shelf showcases both domestic and imported fruits such as apples, oranges, grapefruits, and watermelons, another shelf is reserved for fruits and mushrooms, while the remaining shelves are organized for a variety of fresh vegetables.

BHX has strategically arranged two frozen ice cream cabinets operating at approximately -18 degrees Celsius to preserve a wide variety of ice creams, from canned options to traditional flavors To maximize store space, BHX utilizes two types of single-story wall shelves for displaying an assortment of sweetbreads Additionally, there are two specialized freezers designated for other frozen products, including sausages, pork rolls, spring rolls, fish-beef balls, dumplings, and steamed dumplings The store features four refrigerators maintained at temperatures between 0 to 5 degrees Celsius; two of these are dedicated to dairy products like instant yogurt, edible yogurt, buttermilk, and cheese, while the other two store a range of refrigerated items such as flan, tofu, kimchi, and pre-processed foods Lastly, BHX preserves a variety of beverages in the remaining cabinets, including mineral water, electrolyte drinks, carbonated soft drinks, bottled milk teas, and assorted fruit teas.

General goods encompass a wide range of essential items, including household appliances, cleaning supplies, personal care products, and items specifically for mothers and babies Additionally, this category features various confectionery, beers, soft drinks, rice, dry food, mixed spices, and kitchen utensils, catering to diverse consumer needs.

In particular, BHX uses 7 shelves with 5 tiers to distribute these items as follows:

The upcoming two-sided shelf at BHX is designed to accommodate a diverse range of bottled beverages, featuring both non-alcoholic options like soft drinks, energy drinks, mineral water, fruit drinks, and tea, as well as alcoholic beverages and cereals.

BHX offers a convenient shopping experience with shelves that showcase a variety of items for easy selection The store features a cashier counter equipped with two payment stations, supporting multiple payment methods including cash, bank transfers, credit cards, and electronic wallets Additionally, BHX boasts a spacious two-floor inventory warehouse to efficiently manage its stock.

Circle K, a Texas-based franchised convenience store chain, has established a significant presence in Vietnam since its launch in late 2008, expanding to over 400 locations primarily in Ho Chi Minh City and Hanoi Initially, between 2012 and 2014, the stores operated in smaller spaces of 25 to 50 square meters to maintain brand identity However, as Circle K solidified its market position, it evolved its business model by integrating coffee and fast food offerings, aiming for higher profitability Since 2014, the chain has sought larger premises averaging 100 to 120 square meters in densely populated areas, targeting students, employees, and local residents seeking quick service.

The Circle K store located at 643 Ta Quang Buu Street, Ward 4, District 8, Ho Chi Minh City, spans 100 to 120 square meters and has been strategically expanded to serve as a convenient stop for diverse customer segments Its proximity to bustling residential areas, including apartment complexes like Topaz Elite and Topaz City, as well as educational institutions such as Saigon University of Technology, makes it an attractive destination for a large customer base The store particularly appeals to office workers seeking a lunch break and to Gen Z students who prefer studying in environments that offer amenities like food, Wi-Fi, and air conditioning.

The K store, organized by the research team, features three spacious tables accommodating 20 to 30 patrons Additionally, the store includes three dry goods counters, a frozen food stall, and a fast food counter, along with a payment area, allowing customers to select products that meet their preferences.

Conclusion and Recommendations

Effective management of inbound logistics and inventory control is crucial for retail operations, directly influencing efficiency, costs, revenue, and profitability This article consolidates research findings on these management systems across three retail business types: supermarkets, convenience stores, and grocery stores located in District 8, Ho Chi Minh City.

In our study, we analyzed three inventory management systems: the inventory management system of Bach Hoa XANH, the inventory management system of Circle

K, and the manual inventory management system of local grocery retailers We compared the advantages and disadvantages of these three types in managing the inbound logistics and controlling inventory.

Research shows that the inventory management systems used by BachHoa XANH and Circle K are more effective in optimizing inbound logistics and inventory control compared to the manual methods employed by local grocery retailers These systems offer several key advantages that enhance overall efficiency and management.

- Automation of the inventory management process minimizes errors, enhancing accuracy in inventory control.

- Improved operational efficiency and reduced costs as inventor}' management becomes more straightforward and time-saving.

- The ability to monitor, evaluate, and adjust inventory accurately and promptly facilitates flexible responses to market fluctuations.

However, there are still some drawbacks in implementing these two systems:

- Significant financial investment is required for system deployment and regular updates to ensure effectiveness and meet business demands.

- A highly skilled technical team is necessary for system management and maintenance, ensuring smooth and efficient system operation.

On the other hand, the manual inventor}' management of local grocery retailers has the advantage of:

- Low or no initial investment costs for system deployment.

- Simplicity in maintenance and management compared to the two inventory management systems mentioned above.

The disadvantages of manual inventory management include:

- Proneness to errors in calculations and inventory checks.

- More time and energy consumption for inventory management.

In summary, the inventory management systems utilized by Bach Hoa XANH and Circle K are deemed more effective for managing inbound logistics and inventory control compared to traditional methods used by local grocery retailers However, these advanced systems require a greater financial investment and more human resources for implementation and maintenance.

5.2 Assessment of Warehouse Services Effectiveness

5.2.1 Evaluation of Inventory Control Efficiency and Order Generation

All three types of commercial entities—supermarkets, convenience stores, and grocery stores—share similarities and differences in their warehouse operations, inventory control, and order generation processes A key commonality is the determination of the reorder point, which occurs when inventory levels drop below the safety stock threshold Supermarkets and convenience stores utilize continuous monitoring based on customer purchase history to maintain stable inventory levels and ensure timely order placement In contrast, grocery stores often rely on manual inventory control, which depends on the owner's observation or memory, resulting in a more complex and less accurate determination of the reorder point due to infrequent demand forecasting.

Despite these distinctions, all three types follow the shared principle of ordering when inventory levels dip below the safety stock.

The divergence lies in the application of technology in inventory control and ordering processes across these retail types.

In supermarkets, inventory control is entirely technology-driven, utilizing barcode systems This system continuously updates inventory quantities through management software, automatically generating order requests as needed.

Convenience stores utilize a blend of manual and technological methods for effective inventory management Staff members employ handheld devices to manually assess inventory levels, determine necessary stock, generate order requests, and submit these for managerial approval.

Conversely, grocery stores manually manage inventory without technological integration Salespersons undertake this task through manual recording or temporary estimates, lacking support from barcode systems or any inventory management software.

The differentiation among retail types is primarily based on the level of technology integration in inventory management and ordering processes Supermarkets fully adopt technology, convenience stores utilize a mix of technology and manual methods, while grocery stores rely entirely on manual processes without technological applications.

5.2.2 Evaluation of Effectiveness in Ensuring Product Quality

For any retail type, verifying the quality and quantity of incoming goods is essential, ensuring transparency and compliance with purchase contracts while meeting quality and food safety standards.

All three business types share a crucial product inspection process within their supply chains, which takes place as soon as goods arrive at the store This inspection is accompanied by essential documents, invoices, and valid paperwork, ensuring a thorough review The entire procedure is closely monitored by both parties involved.

The difference lies in the supply sources for these three commercial types and the accompanying documentation for each shipment.

Supermarkets and convenience stores, such as Bach Hoa XANH and Circle K, receive their products directly from their distribution centers, ensuring that all items are accompanied by complete documentation, invoices, and essential paperwork for thorough quantity and quality verification In the event of discrepancies, the accompanying documentation serves as a crucial resource for reconciliation, aiding in effective issue resolution and communication with suppliers.

Grocery stores obtain products from multiple suppliers, each accompanied by invoices for verification, yet they usually lack additional documentation to confirm the goods' origins, except for certain high-value items This absence of comprehensive paperwork makes addressing product issues more difficult, as transactions often do not involve formal contracts Consequently, the manual and inconsistent quality checks exacerbate the challenges faced by grocery stores.

In the expanding retail market, formats like Bach Hoa XANH supermarkets, Circle K convenience stores, and grocery stores are essential to consumers' daily lives To improve the shopping experience and support sustainable development, targeted recommendations can be implemented for each retail format.

For Bach Hoa XANH supermarkets:

To attract a diverse customer base, it is essential to ensure product quality and diversify offerings Focus on delivering high-quality products with transparent origins, while providing a wide range of options, including organic and fresh foods as well as household goods.

To enhance accessibility to quality products with clear origins, it is essential to expand the store network, particularly in densely populated areas and locations outside the city center This strategic growth will ensure that more people can conveniently access the products they need.

Enhance customer satisfaction by implementing efficient home delivery services and facilitating online ordering options This approach not only saves time but also offers convenience for customers with busy schedules, making it easier for them to access your products without needing to visit the store.

Implementing regular customer loyalty programs is essential for fostering strong relationships with dedicated shoppers By offering exclusive promotions and benefits, you not only encourage repeat business from loyal customers but also attract the interest of new customers This strategy enhances customer retention and boosts overall store support.

To enhance the shopping experience, it’s essential to create a welcoming and comfortable environment within the store This can be achieved by designing an organized layout that facilitates easy navigation and efficient payment processes Additionally, training staff to deliver friendly service and assist customers with detailed product information will further enrich the overall shopping experience.
