Incorporation

New System Vietnam Co., Ltd (NSV), established in January 2003, is a joint venture between New System Holding Co., Ltd (Thailand), Argo Graphics Inc (Japan) and FPT Corporation (Vietnam)

NSV is a leading solution provider in Vietnam, specializing in CAD/CAM/CAE applications and total system integration services The company collaborates closely with top-tier hardware vendors such as IBM, HP, Dell, and Object, and offers renowned applications including CATIA, CADmeister, NX, CAM-TOOL, SolidWorks, Hyperworks, JMAG, and Zuken.

ORGANIZATIONAL STRUCTURE

NSV organization

NSV utilizes a functional organizational structure to enhance specialization and efficiency, with well-coordinated functional units overseen by top management, which includes the Board of Management and the General Manager The company comprises four key departments: Human Resources and Administration, Finance, Sales and Marketing, and IT, along with two branches located in Ho Chi Minh City and Hai Phong City The organizational structure is visually represented in the accompanying chart.

Functions of branches and departments

The Board of Management serves as the highest authority in the Joint Venture, comprising senior representatives from three parties It elects a chairman and vice-chairman and holds official meetings biannually, with additional meetings as requested by its leadership or members This board is responsible for addressing significant issues related to the venture, including expansion programs, production proposals, budget management, profit distribution, manpower planning, salary scales, business termination, and the appointment of key personnel.

The Board of Management will make final decisions on ad-hoc issues through consultation among the three parties involved in the venture, ensuring that the process adheres to principles of equality and mutual benefit.

General Manager is the legal person of NSV Vietnam This person is assigned by NSV

The Joint Venture's Board of Management has approved a mandate for 3 to 5 years, positioning NSV Vietnam’s general manager at the same level as a Managing Director or Director in other firms This role involves overseeing daily business operations and strategically guiding the company towards planned growth, ensuring that all objectives and targets are achieved to fulfill the overall company goals.

The Human Resource and Administration Department plays a crucial role in supporting all departments with recruitment, wage management, administrative assistance, health and safety initiatives, and employee relations By focusing on staff development and career planning, it aims to enhance the skills and competencies of the workforce while ensuring a strong pipeline of management and professional talent The department is led by a manager based in the South and an assistant manager in the North, with the manager overseeing operations across the nation.

Finance Department has responsibility for organizing the financial and accounting affairs

The finance department is responsible for essential tasks such as bookkeeping, preparing balance sheets and profit and loss accounts, providing management information, raising finance, and managing accounts receivable and payable Led by a Finance Manager, the team includes a General Accountant and four executives specializing in accounts receivable, accounts payable, and taxation.

Sales and Marketing Department is responsible for conducting market research and business analysis Using the information gathered, the department will develop marketing

The Thang Long University Library will develop a comprehensive plan that includes budgeting and key performance indicators, followed by the creation of actionable marketing strategies The effectiveness of these marketing efforts will be assessed and reported Additionally, the department will function as a customer service agent post-sale to enhance client retention and will assist the Finance Department in collecting accounts receivable The team consists of a manager, a supervisor, and two executives.

IT Department makes a tracking record of contracts to provide products and services of

- Develop processes to ensure well-functioning network, server systems, and related peripherals;

- Research and propose solutions, feasible plan the hardware, network, and application software, security systems optimize IT systems to serve the company's business activities;

- Collect demand, synthesis, analysis and proposed information system needs;

- Keeping records of information system;

- Monitoring and analysis of the evolution of computer networks, software applications, telecommunications services, has immediate troubleshooting measures to ensure the trading system is not interrupted;

- Report on the activities of the week, the month, demand extraordinary leadership of the company;

- Be responsible to the Board of Management in the field of IT in the company;

- Management and operation of the company's website;

- Updated information on the company's website;

- Make sure the information is accurate and timely updates;

- Report and remedial measures when hackers;

- Operation, installation, processing technical problems, for the internal computer network of the company;

- Meet the requirements for the unit in the company on the internet and phone;

- Install the software according to the requirements of the unit;

- Installing a printer, scanner and other utility software at the request of the unit - Set email address for the entire staff of the company;

- Ensure that the system of machinery, equipment works well;

- Dealing with the problem of computer virus infection;

- Develop and manage internal data systems within the company:;

THE MISSION: ASSIGNED TASKS AND GOALS

The position

Since June 2012, I have served as a sales executive in the Sales & Marketing department at NSV, where my responsibilities include conducting market research and analysis, as well as developing effective marketing and sales strategies.

The tasks assigned

I started my internship at NSV in June 2012 The following table describes the tasks assigned to me over different periods

- Find out about the NSV company: history, types of business, product and service characteristics, the organizational structure etc

- Understanding the Sales department: employees, main tasks etc

- To prepare sales plans (turnover, gross profit) for product groups and objectives for products per customer

- To expand the turnover with respect to product groups in conformity with the long-range plan

- To expand the sale marketing skill for CAD/CAM/CAE software

- To remain informed about the developments in the area of product development, market, price, competitors and buyers and test by the sales plans and the selection

- To make an inventory of customer demands and requirements and to safeguard customer satisfaction

- Manage and maintain customer accounts by handling queries, customer visits and product orientation

- Preparing quotations, samples, technical information or other documents for customers

- Follow up on arrival of stock and lead-time and inform delivery schedule to customers

The objective of the Sales and Marketing department is coordinating with the leaders of the company to develop products and services in Vietnamese market.

- To expand the NSV business market in Vietnam.

My contributions to the company

After internship at NSV, I have successfully completed all the assigned tasks as follows:

- Completing report on the IT in Vietnam market

- Making the research about NSV and competitors who provide the same products and services on the Vietnam markets

- Proposed some solutions to improve business performance in NSV.

The theoretical knowledge to be put into practice

My two years in the course have been incredibly memorable, as I've gained a wealth of knowledge that I previously lacked or misunderstood During my four-month internship at NSV, I was able to apply various subjects in practical settings, enhancing my understanding and skills.

This course has significantly enhanced my understanding of economic issues and the globalization process, highlighting its impact on national development I now comprehend the roles of various organizations in both the global and national economies This knowledge equips me to effectively analyze economic reports and assess the economic context for strategic planning.

When creating a business plan or strategy, it is crucial to identify key elements that will ensure its effectiveness Focus on essential aspects and include relevant information that contributes to the plan's realism and viability.

The lectures on market globalization and strategic planning offer practical insights, utilizing effective techniques and models such as PESTEL, Porter’s Five Forces, and SWOT analysis These tools were successfully applied during the internship to conduct various analyses, enhancing the understanding of strategic options and preparation.

The course equips us with the latest insights and strategies to remain adaptable in various circumstances It enhances my understanding of customer expectations based on geographical and cultural factors, allowing me to tailor our strategies effectively Additionally, the marketing lectures provide valuable knowledge that I can apply directly to my draft plan, ensuring our approach aligns with current market demands.

The course enhanced my understanding of both direct and indirect selling channels, various types of intermediaries, and key factors in choosing the right distribution channel for specific products This knowledge proved invaluable as I explored and recommended distribution models for a new product.

All in all, I sincerely hoped that the missions which I have been assigned will be accomplished so that we can achieve the target and bring more success to the company

Through the course, we learned the major risks that a business has to face In addition, Professor required us solve the interesting exercises of managing financial risks which have

14 happened in real life Since then, I have learned many lessons to minimize the financial risks when we bring products of NSV enter a new market

To excel as a salesperson, it is essential to have a thorough understanding of regulations and the ability to draft sales contracts, making International Contract Law courses vital for my success These courses equip me with the necessary knowledge to navigate complex legal frameworks effectively.

As of now, 18.96% of the Vietnamese population utilizes the Internet, with 100% of large businesses and corporations, 98% of high schools, and 50% of secondary schools connected online The Information Technology sector in Vietnam has experienced an impressive annual growth rate of 25-30%, generating nearly $5 billion in revenue in 2011, including $950 million from software technology This burgeoning IT landscape presents significant opportunities for technology companies, particularly NSV, positioning it as a vital high-tech industry in Vietnam, while also posing challenges for future development.

The political and legal environment encompasses government policies, the current legal framework, and prevailing political trends, both domestically and globally It also includes the government's diplomatic relations and political events that can influence business landscapes Changes in this environment can present both opportunities and risks for businesses, making it essential to stay informed about these dynamics.

Vietnam's legal environment, though currently limited, is evolving, particularly in the realm of Information Technology as the country integrates into the WTO This transition has led to the establishment of a more robust legal framework, marked by the issuance of relevant regulations.

From 2006 to 2010, Vietnam's IT industry continued to experience significant growth, solidifying its status as a key economic and technological sector This growth has played a crucial role in driving development, reducing poverty, and enhancing living standards, enabling Vietnam to gradually align itself with more developed countries in the region and globally The industry has diversified across various fields, including software, hardware, digital content, and IT services, with particular expectations for a booming digital content industry and IT services in the coming years.

Between 2006 and 2010, Vietnam's software development and services sector experienced remarkable growth, becoming a key economic driver with an average annual revenue increase of over 30% By 2010, revenue surpassed 1 billion USD, a fourfold increase since 2005, with export revenue accounting for approximately 35%, marking a fivefold rise from 2005 Japan and North America emerged as the primary export markets for Vietnamese software companies Additionally, Vietnam consistently ranks among the top 10 most attractive global outsourcing destinations, as recognized by leading consulting firms such as KPMG, Gartner, and AT Kearney, which placed Vietnam at 8th in their 2011 report on outsourcing opportunities.

The demand for IT services, including IT outsourcing (ITO), business process outsourcing (BPO), data center infrastructure, hosting services, cloud computing, mobile applications, e-banking, and e-commerce, is rapidly expanding in the domestic market while also attracting foreign outsourcing contracts Notably, IT solution consulting and systems integration services have experienced significant growth over the past five years, with an average annual revenue increase of 35%.

In light of current economic challenges, businesses must enhance operational efficiency and stay attuned to market trends to lower production costs and anticipate future developments Experts predict that the industry will sustain a growth rate of 20% to 25% in the coming years, potentially contributing 10% to the GDP.

The number of software and IT service enterprises surged to over 1,000 in 2010, marking a 2.5-fold increase since 2005, predominantly in major cities and employing more than 70,000 workers The average labor productivity in this sector stands at $14,800 per employee per year, with top-tier companies achieving figures exceeding $20,000 Notably, firms offering integrated services can see productivity levels soar to over $30,000 per employee annually.

Vietnam boasts a thriving software industry, featuring numerous firms with over 1,000 employees, including notable names like FPT Information Systems, TMA, and PSV, with FPT Software leading the way at over 3,500 employees The country is home to two software firms that have achieved CMMI Level 5 certification, alongside many others certified at CMMI Levels 4 and 3, as well as ISO-9001 Additionally, Vietnam has seven operational IT parks, among which Quang Trung Software Park, Da Nang Software Park, and the IT Park of the National University in Ho Chi Minh City stand out as particularly successful and well-known.

NSV operates as a distribution agent in the Vietnamese market, where customer pressure is minimal However, the services offered by NSV are somewhat influenced by customer demands, especially due to direct competition from notable rivals such as FVL and NTT.

Vietnam's accession to the WTO presents significant opportunities for NSV to penetrate both the Vietnamese and international markets However, this integration also poses challenges as WTO accession commitments are gradually phased out, creating a competitive landscape with other foreign companies.

Improve and Action plans

After I conducted research using different techniques and tools such as SWOT analysis, which is regarded as an effective analytical technique to support strategic decisions, Porter’s Five Forces Model, EFE Matrix and PESTEL to do the various analysis on business environment, competitors business and their needs, product analysis and most important of all, analysis on NSV Let me give you an action plan and measures to improve the following:

NSV's target customers are currently active in Vietnam's heavy industry sectors, including metallurgy, coal mining, fertilizer production, mechanical engineering, electronics, information technology, and energy This analysis highlights the Vietnamese market's potential, with the government recognizing the IT industry as a crucial driver for economic growth.

- Expanding market offers products in the city of Da Nang and Thua Thien Hue this is the potential market

- Application of international standards in the administration and business of NSV

- Build policies for the product and service for each customer group

- Strengthening the recruitment and training for staff Training management skills, sales skills, specialized in-depth training

CONCLUSION

Achievement of the Internship

After four months of my successful internship, I have accomplished significant tasks and met specific targets I collected valuable data that provided a comprehensive view of the business environment, conducted market research, and performed a SWOT analysis This analysis revealed both the opportunities available to our company and the challenges we may encounter Additionally, I identified NSV's competitive advantages and key rivals, allowing us to understand how we can outperform competitors and maximize available opportunities while effectively responding to changes in the external environment.

The internship has significantly advanced the Sales and Marketing Department and the company's long-term objectives, achieving its goals and providing a solid foundation for future reference My contributions included offering positive recommendations for analyzing internal and external factors, surveying customers, and balancing the 4Ps in the marketing mix and pricing strategy, which were pivotal in the project's initial phase (Market Review) Additionally, my data synthesis and analysis serve as essential resources for future research, leading to the identification of new customers who are now attractive targets for the company Furthermore, I proposed a feasible product aimed at facilitating NSV's market expansion.

Shortcomings of the Internship

The author utilized the knowledge gained from their master's program in practical applications; however, due to time constraints, the intern was unable to address all issues comprehensively or offer additional solutions.

If the author had the opportunity to visit all NSV locations and conduct business trips to various international sites, the proposed measures would be more tailored and precise.

Conclusion

My internship at NSV was an invaluable experience that allowed me to apply the theoretical knowledge from my AMI course in a practical setting I gained profound insights into marketing research and the role of a marketing executive Collaborating with a supportive team through regular meetings and site visits enhanced my teamwork and time management skills The demands of frequent travel and tight deadlines helped me become more organized and energetic Additionally, these site visits provided ample opportunities to improve my communication skills and expand my professional network I am grateful for the guidance from my company supervisor and my experienced teammates, whose friendliness and cooperation made this journey enriching Their extensive knowledge in marketing and business, coupled with their eagerness to learn, inspired me throughout my internship.

The skills and experiences I gained during my internship will significantly enhance my career moving forward I am confident that NSV is on the path to achieving its goals and will continue to thrive in the business world.
