A, INTRODUCTION

Jim Rohn once said: “Time is more value than money You can get more money, but you cannot get more time” Right, time is the most valuable asset that each person possesses because once it's gone, it can never be recovered However, not everyone knows how to use it effectively

Especially in today's digital world, the way we live and work has changed greatly Technology has become an important tool that makes our work easier and faster, but it also brings new problems, especially in how we manage our time Every day, we face many distractions like phones, social media, and emails that can take away our attention from important tasks This leads to delays and decreases the effectiveness of work

So learning how to manage our time well now is more important than ever! It's not just a useful skill - it's something we need to succeed in our busy lives Recognizing this, our group conducted a study on the topic:

“Time management — A key skill for the digital age”

In general, time management 1s the process of organizing and planning how people divide their time between specific activities to maximize the effectiveness

of an individual's efforts It is not about having all of those things done; it’s about having enough time for what matters most to you Time management is really

“personal management and it is a skill necessary for achieving a better quality of

life By managing your time in a more efficient way, not only you will get the nght things done, but you’ll also have enough time to relax, de-stress and breathe more freely

1.2 Factors affecting time management

1.2.1 Internal factors

a Energy level

Individual's energy levels, significantly affect their capacity to manage time Physical and mental energy fluctuates throughout the day, and understanding these patterns can help indrviduals optimize their schedules For instance, many people find they are most alert and focused in the morning, making it an ideal time for tackling complex or demanding tasks Conversely, low-energy periods may be better suited for routine or less mentally taxing activities Neglecting factors that influence energy, such as sleep, nutrition, and exercise, can lead to fatigue and diminished productivity Prioritizing self-care and recognizing one’s natural energy cycles can enhance time management by aligning tasks with peak performance periods

b Goal setting and motivation

One of the most significant internal factors affecting time management is goal setting and prioritization People who have clear and well-defined goals are better equipped to allocate their time effectively Goals provide direction and motivation, enabling individuals to focus on tasks that align with their objectives Conversely, those who lack clarity about their goals or struggle to set priorities often find themselves overwhelmed by competing demands, leading to procrastination or inefficiency To overcome this, it is important to find ways to increase motivation, such as setting clear goals, breaking down tasks into smaller, more manageable steps, and rewarding oneself for completing tasks

c Personal habits and discipline

Self-discipline is another critical internal factor influencing time management The ability to resist distractions and adhere to a planned schedule is vital for maintaining productivity Self-discipline requires a conscious effort to stay

focused and avoid indulgence in time-wasting activities such as excessive social media use or aimless browsing Without discipline, even the most well-organized plans can fall apart Developing this trait often involves building habits that reinforce consistency and focus, such as dedicating specific blocks of time for concentrated work or following a routine It also requires a mindset that values delayed gratification over immediate pleasure, ensuring that short-term distractions

do not derail long-term goals

Procrastination is often associated with traits like impulsiveness or low conscientiousness People who procrastinate delay tasks and may find themselves rushing to meet deadlines, which leads to stress and poor time management Some procrastinators work better under pressure, but this isn’t always sustainable and can negatively affect long-term productivity

1.2.2 External factors

a Work overloads

One of the most prominent external factors affecting time management is the workload assigned to an individual, whether in a professional or personal context Excessive workloads can overwhelm a person, making it challenging to prioritize tasks effectively When responsibilities exceed the available time or resources, individuals may feel pressured to multitask, which can affect the quality

of their work and lead to burnout

For example, some other students today participate in too many clubs, and extracurricular activities, face deadlines, and meetings, work part-time they forget their main task is studying Many students have to do too many things in a day, leading to stress, distraction, doing one thing but then forgetting another, then being absorbed in one thing and forgetting another, feeling like they are always busy, working without rest but still not finishing the job

b Technology and digital disruptions

Technology can be both a boon and a bane for time management The popularity of smartphones, social media, and instant messaging apps often leads to

frequent distractions and a constant demand for attention Notifications, emails, and the temptation to scroll through social media can eat into valuable time, reducing focus and productivity However, technology can also be harnessed to improve time management through tools like digital calendars, task management apps, and productivity software Striking a balance between leveraging technology for efficiency and avoiding its distractions is essential for effective time management

II The influence of time management on digital technology

IL1 Driving the development of time management tools

Since ancient times, humans have recognized the importance of time Because they needed to know the time to plan activities like farming, hunting, and daily routines; adjusting life according to nature and creating an orderly rhythm of life As a result, humans sought ways to organize their days through sundials and water clocks - the first time management technologies of mankind

They originated in Egypt circa 3,500 B.C., and simply depicted time based

on the sun’s shadow as it tracked across the sky As sunrise and sunset varies each day, the first limitation of sun-dials in coordinating and managing people's time was that an "hour" was never the same two days in a row There were also days - and weeks - where rain and clouds severed the link between the sun and the dial, and so the ability to tell the time, let alone manage it, was lost In 1,500 BC, water

and sand clocks emerged as humanity's next attempt at time management Based on measuring flow from or to a container However, the cost and scale of these contraptions were beyond the reach of most towns and so were only common amongst the aristocracy The small fact that water freezes made their use seasonal

It was not until the industrial revolution that the need for meticulous time tracking became paramount This necessity gave birth to the first time management tools, designed to maximize efficiency in an era of burgeoning productivity The late 19th and early 20th centuries saw the introduction of time cards and the Gantt chart, revolutionizing how tasks were scheduled and tracked in industrial settings

With the advent of the digital age, the importance of managing time effectively has led to a rise in digital tools designed to help people plan, organize, and schedule tasks in different fields Software applications replaced traditional paper-based systems, offering new features like digital calendars, reminder alerts, and synchronization across devices

Beyond basic scheduling, the evolution of software has introduced powerful project management platforms These tools extend the concept of time management from individual tasks to team-based workflows, enabling real-time collaboration, progress tracking, and task prioritization For instance, teams can use visual boards

or timelines to allocate resources, monitor deadlines, and identify potential bottlenecks, significantly enhancing productivity in corporate and creative environments

Moreover, the integration of artificial intelligence (Al) and automation has elevated time management to unprecedented levels Tools analyze how users allocate their time, providing insights into productivity trends and suggestions for improvement These innovations not only save time but also help users focus on high-priority activities (more critical), aligning with the broader goal of maximizing efficiency in an increasingly fast-paced world

As digital technology continues to evolve, the scope of time management tools is expanding to encompass features like goal setting, habit tracking, and integration with other systems like email and communication platforms This seamless connectivity reflects a deeper understanding of time as a resource that must be meticulously managed to meet the demands of modern living and working environments

11.2 Optimizing workflow and efficiency in technology production

In the context of large-scale technology projects, time management becomes even more important Technology production projects involve complex workflows and multiple stakeholders By using powerful time management techniques, teams can establish clear timelines, track progress, and identify potential risks early Traditional development methods often involve lengthy and sequential phases, susceptible to delays and inefficiencies In contrast, the application of time management methods such as Gantt charts, Agile, and Scrum has brought about a revolution in technology production Gantt chart provides a visual map of the project's progress, helping teams easily visualize and track tasks and deadlines Meanwhile, Agile and Scrum, with their flexible approach, break projects into short phases (sprints), allowing teams to quickly adapt to changes and _ prioritize important tasks The combination of these methods not only helps optimize resource allocation and minimize risks but also creates a dynamic work environment that encourages creativity and innovation Thanks to this, technology products can be developed quickly, with high quality, and better meet market demands
