STEP 1: RECEIVE AND CHECK THE SET OF DOCUMENTS

The Arrival Notice is typically issued 1-2 days prior to the expected arrival date Once the ship reaches the port, Bee Logistics' courier presents a complete set of documents along with a referral from the customer’s company to the shipping line to obtain the Delivery Order (D/O) If the order is a connecting one, it may be necessary to visit a different designated forwarding agent.

STEP 3: E-CUSTOMS DECLARATION AND TAX PAYMENT

Upon the ship's arrival at the port, containers are docked for the pickup of goods, and customs declarations for imported items are processed electronically using Ecus5-VNACCS software The import customs declaration includes essential information such as the declaration number, agency name, importer and exporter details, bill of lading number, storage and unloading locations, queuing location, means of transportation, and date of arrival Additionally, a digital signature is required to transmit the official declaration to the system Once successfully transmitted, the customs system registers the declaration, which is then categorized into three streams: blue, yellow, and red.

Bee Logistics streamlines the customs declaration process by enabling online submissions alongside obtaining delivery orders (D/O), significantly reducing processing time Previously, importers faced the cumbersome task of manually completing paper declarations and submitting them to customs, often leading to errors that required time-consuming corrections With the advent of electronic declarations, the process is now expedited, and any inaccuracies are promptly flagged for immediate correction.

Bee Logistics currently utilizes the ECUS5/VNACCS software provided by Customs authorities for electronic customs declarations, along with other authorized software Upon successful transmission of the customs declaration, the receiving system automatically provides notifications including the receipt number, declaration number, and the status of the goods flow, which may be categorized as green, yellow, or red.

When the green stream is activated, the electronic customs declaration is deemed complete, ensuring a smooth process In contrast, the yellow stream requires modifications and verification of original documents, while the red stream necessitates direct checks alongside original document verification At this stage, Bee Logistics will obtain the import customs declaration, print it, and then reach out to the taxpayer.

STEP 4: REGISTER THE DECLARATION AT THE PORT

Once the electronic customs declaration is successfully completed and printed, the next step is to gather all necessary documents to register the declaration at the port.

• Paper to deposit money into the state budget

• Registration of inspection (in case of red stream)

Once the necessary documents are prepared, Bee Logistics' forwarder will submit them to customs, where the application will be reviewed and inspected If everything is in order, the file will then be forwarded to the tax pricing department for the determination of the applicable taxes.

If goods fall into the red stream, an inspection is required Forwarders must use the roster to contact customs and complete registration procedures for transferring the chemical site Once at the yard, the container is opened and unloaded for inspection.

Upon completing the inspection of the documents, they are stamped and sent to the customs declaration return gate At this stage, the forwarder purchases a stamp to attach to the declaration, as stamps are classified as customs fees.

The returned dossier will consist of a stamped customs declaration and a document inspection result slip; if categorized as a red stream, an additional slip with goods inspection results will be included The forwarder must verify that all necessary documents are present before moving on to the next step.

Import-export jobs demand a blend of knowledge and adaptability to effectively handle customer-related challenges, often leading to unpredictable and complex situations Throughout my internship, I discovered that these roles are among the most physically demanding, as they require outdoor work with irregular hours, whether day or night While OPS positions may not necessitate extensive skills or professional expertise, proficiency is typically gained through experience in the role.

Over the past four weeks of training, I was amazed by the practical operations of businesses, which are often not covered in textbooks Despite the challenges, I dedicated myself to adapting to the real-world corporate environment This experience has been invaluable, and I would like to highlight some key early lessons I have learned.

Upon joining Bee Logistics, I gradually familiarized myself with the field department team, enhancing my understanding of the company's culture and work assignment processes through communication and observation Additionally, I assisted the import-export department by gathering essential documents for the company's import-export files.

I have gained valuable insights from my siblings on the importance of self-study, research, and knowledge exploration in business, which are essential for enhancing both personal and professional development in the future.

During my internship at Con Ong Freight Forwarding Joint Stock Company, I observed and documented the company's receiving apparatus and resources, as well as the roles and responsibilities of each department The report highlights the limitations in the company's FLC delivery process, emphasizing the need for seamless coordination among departments to ensure an efficient and optimal order processing workflow.

Despite the one-month training duration, I consider it a valuable opportunity that enhances my understanding of practical lessons and complements my academic knowledge This experience provides me with insights into the business environment and the operational dynamics of organizations, making it highly relevant to my field of study.
