1.1 REASON FOR STUDY
In the recent years, the ISO has been propagated and applied widely in Vietnam TheISO has become urgent issue of Vietnamese enterprises ISO is considered the mostnecessary condition to manage and develop the enterprises However, it's true that peopleheard of ISO but not many of them can understand clearly what it is Besides, Vietnameseenterprises are still passive in applying ISO 9000 Most of the enterprises that are applyingISO 9000 are import-export companies or are confronting the severe market Applying ISO

Procedure of controlling and keeping records:
Procedure's purpose:
This procedure is to unify the controlling and keeping records methods in thecompany This procedure defines the responsibility of individual or unit in setting up,controlling and keeping records Records management is a long process which starts withthe occur of the transaction, the word processor specialist then collects and transfersdocuments till it's solved Here is the content of the procedure

In the previous days, leaderships did not pay much attention to records handling. Therefore, we usually hear about untidy pile of records from year to year It took a lot oftime searching for records However, nowadays in some enterprises that have applied ISO,managements attach much importance to office works especially to records keeping andcontrolling They also put great emphasis on modern office equipment investment ISO isreally a good pattern ensuring the quality of products and services After having a view atthe management system in some companies in HOCHIMINH City, I have realized thatCompanies who applied ISO in their Management System have a lot of advantages such as
Systematic: because all documents have been put in order as the requirements of the
company's keeping record stipulates and of the ISO 9001 :2000
Accuracy : because all activities of the enterprise have been set up in written work
procedures
Quickness : because all enterprise's operations have been analyzed in order to be
done by the quickest way
Unification : the enterprise has forms for almost all documents
