INTRODUCTION
Rationale
Young teachers, fresh from university, often possess beautiful and sweet voices when speaking English However, in many schools, their effectiveness is measured by their students' entrance exam scores, leading them to focus primarily on grammar, reading, and multiple-choice exercises This reliance on Vietnamese in the classroom causes them to gradually lose their speaking skills To effectively teach students to speak English, it is crucial for teachers to maintain their own speaking habits Therefore, there is an urgent need to enhance teachers' overall competencies, particularly their speaking skills, to meet the demands of modern English education.
In many group meetings, English teachers often communicate in Vietnamese and engage in paperwork that is ineffective and time-consuming Frequently, these meetings are held solely due to administrative requirements rather than genuine necessity.
Group meeting are excellent opportunities for English teachers to enhance their overall competences especially speaking skill to meet the new demand in this modern society

THEORETICAL AND PRACTICAL BASIS OF THE TOPIC 4 1 An overview of group meeting
1 An overview of group meeting
An efficiently organized group meeting is a powerful tool in the workplace, fostering closer collaboration, enhancing brainstorming efforts, and facilitating effective communication among team members.
Ineffective group meetings can lead to disengagement, leaving leaders facing uninterested participants To combat this, it's essential to define the meeting's purpose and action items before sending out invitations Properly planning the meeting in advance can significantly enhance engagement and prevent meeting fatigue.
1.1 What is the purpose of a group meeting?
A group meeting is a gathering where members of a unit or organization come together to communicate and collaborate on common goals Various types of group meetings exist, each designed for specific purposes To ensure an effective meeting, it is essential to assess your needs and plan accordingly.
In any organization we’ll find the following types of group meetings:
Daily status updates serve as quick check-ins that allow employees to inform their colleagues about their current tasks and seek real-time support for upcoming projects While not essential for every team, these updates are particularly beneficial for development groups engaged in time-sensitive sprints.
Weekly group meetings, especially when held on Mondays, are essential for aligning priorities and tackling any issues or roadblocks These meetings also provide an opportunity for managers to reflect on the previous week's accomplishments and recognize the team's strong efforts.
Town hall meetings serve as large-scale gatherings that bring together the entire organization, providing an excellent platform for open discussions on key topics such as strategies and company roadmaps These meetings are instrumental in ensuring alignment among various teams and departments.
One-time meetings are scheduled by managers as necessary to address important issues that arise promptly These meetings are crucial for discussing significant changes that may affect the team, such as personnel departures, shifts in strategy, or organizational restructuring.
Retrospective meetings, also known as post-mortems or debriefs, occur at the conclusion of a project or campaign, providing an opportunity to reflect on the team's work During these meetings, teams review outcomes, identify successes, and recognize areas for improvement, ultimately enhancing their methods and fostering group growth.
1.2 The importance of group meetings
Group meetings, much like individual discussions, offer numerous advantages that enhance team cohesion and foster active participation Exploring the benefits of effective group meetings reveals how they significantly improve collaboration among team members.
Key benefits of group meetings
Regular group meetings foster alignment among team members by ensuring everyone is informed and connected to shared objectives These meetings enhance understanding of individual roles and responsibilities, allowing employees to see how their contributions fit into the overall mission.
High-performing teams thrive on trust and rapport, fostering a happy and comfortable environment where members know, trust, and understand one another Bringing everyone together, whether in person or virtually, cultivates authentic connections among colleagues.
Effective group meetings enhance communication by facilitating information sharing and generating new ideas Unlike emails or Slack messages, which can obscure meaning without body language and vocal cues, in-person discussions allow for clearer understanding For significant announcements, such as staff restructuring, group meetings provide an open channel for communication, encouraging questions and comments from participants.
Encouraging employee feedback is crucial for a group's future success As a leader, it's important to utilize meeting time effectively by allowing space for comments and problem-solving at the end of each session Team meetings serve as an excellent platform for providing feedback on both past and current projects.
1.3 When do we need a group meeting?
To make the most of our group’s time, there are a few key considerations before scheduling our meeting
Establishing the purpose of our group meeting before sending out invitations is essential By visualizing our end goal, we can maintain focus during discussions and outline clearer next steps.
Effective group meeting preparation hinges on strategic scheduling It's essential to allocate time before launching a new campaign or project to discuss ideas and review details that affect our colleagues' tasks While scheduling meetings at inconvenient times, such as 4:30 p.m on a Friday, may be unavoidable, avoiding such slots can significantly enhance team engagement.
SOME SOLUTIONS TO INNOVATE GROUP MEETING TO
1 Use English in group meeting
To effectively teach students to speak English, teachers must first develop their own speaking skills Creating an English-speaking environment for teachers is essential, as it provides opportunities for them to practice with colleagues This initiative not only enhances teachers' speaking abilities but also contributes to their overall professional development.
Using English in group meetings fosters a sustainable speaking environment for all members Daily practice helps teachers develop the habit of speaking English and gradually improve their skills As members communicate in English, they learn continuously, enhancing their ability to express thoughts and share vocabulary with one another This collaborative approach enriches everyone's vocabulary and introduces new language structures.

3 Innovate group meeting contents to enhance teachers’ speaking skills
Group meetings for teachers often involve unproductive paperwork, leading to significant time wastage To foster an English-speaking environment and improve the speaking skills and overall competencies of English teachers, it is essential to revamp the meeting content and procedures Here are several strategies to enhance the effectiveness of group meetings.
Utilize group meeting time to collaboratively analyze provincial tests for gifted students or national secondary education assessments Focus on discussing challenging aspects of the tests, identifying their sources, and developing effective strategies to guide students in their preparation This approach will significantly benefit both educators and the overall quality of English instruction in schools.
Organizing group meetings for seminars on topics of interest can significantly enhance teaching effectiveness Members can select themes they wish to explore, such as the advantages and disadvantages of a new English textbook or strategies to engage students Additionally, discussions can extend to broader themes like parenting or maintaining a happy marriage, fostering an open environment for learning and sharing insights The key is to choose subjects that encourage English conversation among participants, promoting both professional development and personal growth.
4 Use the board in the group meeting room as a tool to exchange knowledge and learn together
The board in the group meeting room serves as a valuable tool for knowledge exchange and collaborative learning By documenting timetables and schedules in English, we enhance our learning experience daily Additionally, we can use the board to share challenging exercises, intriguing phrases, structures, and idioms This approach transforms the board into an effective resource for all group members to share knowledge and learn collectively.
The English group board at Hoang Mai 2 School serves as a vital resource for creating timetables and schedules, while also facilitating knowledge sharing and collaborative learning among all group members.
5 Change place of group meeting
Group meetings often occur in a designated room and focus solely on paperwork However, by changing the meeting location, we can enhance effectiveness and engagement For instance, holding meetings in a cafeteria allows participants to enjoy their favorite food and drinks while discussing group work in English Alternatively, visiting a group member's home for a cozy meal can foster a relaxed atmosphere, encouraging open conversation in English Changing the meeting venue not only makes gatherings more appealing but also creates a friendly environment, reducing tension and making teachers feel more comfortable speaking English.

7 Hold annual English speaking contests for teachers
The English Speaking Contest aims to create an engaging platform for teachers to enhance their English skills, boost their confidence, and foster a passion for speaking the language By organizing annual contests at regional, provincial, and national levels, we can cultivate a widespread movement among educators These contests not only encourage teachers to practice English but also enable them to set positive examples for their students As teachers become motivated to improve their speaking abilities, they develop the necessary habits to effectively teach their students Therefore, hosting annual speaking contests is essential for providing teachers with valuable opportunities to refine their English speaking skills.
8 Make friend with native speakers and invite them to attend our group meeting or English club so that we will have chances to practice our English and they can give valuable ideas to contribute to our group
Cooperating with native speakers is one of the most effective ways to enhance English speaking skills for both teachers and students Native speakers possess a beautiful voice and a strong command of the language, providing valuable learning opportunities By inviting them to participate in group meetings or English clubs, we create chances for practice and receive insightful feedback Engaging with native speakers offers numerous benefits, including improved fluency and confidence in speaking English.
Having a native speaker as a resource offers the significant advantage of fluency and natural language modeling Engaging in conversation with them improves our communication skills with other native speakers, as it helps us become familiar with common speech patterns and colloquialisms, ultimately enhancing our understanding of the language.
Listening to native speakers allows us to experience the correct pronunciation of foreign words They typically exhibit superior pronunciation skills, having acquired the language from authentic sources.
By mimicking a native speaker, we establish correct pronunciation habits

FACTORS TO BRING ABOUT A PRODUCTIVE GROUP
Group meetings in English require more careful preparation compared to those conducted in Vietnamese, where members can freely discuss issues in their native language To ensure all participants understand the group leader's agenda and can effectively communicate their concerns in English, a detailed meeting plan is essential This preparation is crucial for fostering productive discussions and achieving meeting objectives.
To ensure a productive meeting, it is essential to give group members time to prepare and arrive with ideas Complex topics benefit from prior consideration, so circulating the meeting agenda in advance allows members to feel prepared and engaged.
- Give all group members clear expectations of the meeting
When planning a meeting, the group leader must clearly communicate expectations to all members It's essential to specify what materials need to be prepared and the desired outcomes Members should know whether they are expected to present a brief idea in thirty seconds or a more detailed proposal.
20 to bring any equipment or materials? Do thet need to review a document or product prior to attending?
During the planning phase, it's essential to list all items and tasks that group members must complete prior to the meeting This clarity enables both the group leader and members to prepare effectively, ensuring a more efficient meeting.
2 The role of group leader
An effective group leader should possess an innovative and adaptable mindset, demonstrating a commitment to leading by example It is essential for the leader to communicate in English consistently during meetings and to motivate all members to do the same To ensure a successful English-speaking group meeting, the leader must adequately prepare by organizing the content, managing time effectively, and selecting an appropriate format.
This will help the group leader take the meeting under control and help the group meeting take place effectively and smoothly
To foster English speaking among group members, the leader should adequately prepare by informing them in advance about the meeting's agenda and their presentation topics This preparation boosts members' confidence and enhances their readiness During the meeting, the leader must actively listen to all participants and encourage their feedback.
3 The role of group members
Active participation in group meetings is crucial for success, as members must recognize that speaking English benefits them Understanding their important roles encourages collaboration with the group leader, ultimately leading to more effective and productive meetings.
To ensure the success of group meetings conducted in English, all members should agree to a commitment that mandates the use of English during both meetings and group chats Any member who does not comply will incur a small monetary penalty, which will contribute to the group's budget This approach establishes clear rules and encourages active English speaking among all participants.
4 Stages to run a group meeting in English effectively
- Define the goal of the meeting
Before sending out invites, it's essential to define the goal of our group discussion A clear objective not only keeps participants engaged but also minimizes distractions, such as colleagues reaching for their phones to check social media.
Successful team meetings engage all participants by encouraging their contributions Distribute a clear agenda in advance, allowing employees to prepare their questions, comments, and ideas Additionally, use this opportunity to communicate essential scheduling details, such as the meeting's duration, any planned intermissions, and the inclusion of interactive break-out sessions.
Effective group meetings prioritize collaboration by allowing time for questions and comments, encouraging colleagues to express their thoughts Additionally, sharing feedback from other groups or leadership can be valuable in advancing projects.
- Summarize and determine action items
To ensure that all group members stay informed, it's beneficial to record virtual discussions for those who cannot attend Sharing the meeting link or providing a detailed summary of the key discussion points allows everyone to review the content This practice helps in determining the next steps and assigning tasks effectively.
- Follow up on action items and track progress
To effectively manage our to-do list, it's essential to follow up on action items and, if necessary, schedule follow-up meetings to achieve group goals promptly This practice not only aids in overcoming obstacles but also addresses issues before they escalate.
Group meetings can be beneficial when appropriate, but alternative formats may be more suitable in certain situations For instances with fewer agenda items, an asynchronous meeting can be effective, allowing participants to either record brief videos detailing their tasks or collaborate on a shared Excel spreadsheet.
- Make the most of our group meetings
Effective group meetings foster collaboration, idea sharing, and open communication among unit members By implementing the best practices and considerations outlined, we can enhance these benefits significantly.

Before implementing the new experience idea at Hoang Mai 2 school, many teachers were hesitant to speak English due to a lack of confidence, often resorting to Vietnamese during group meetings that felt tedious and unengaging However, after innovating the content and procedures of these meetings, they transformed into dynamic sessions for practicing English, sharing knowledge, and learning collaboratively This shift has significantly improved our speaking skills and boosted our confidence in public speaking By consistently using English in meetings, we have fostered a sustainable English-speaking environment, enabling teachers to develop the habit of speaking English daily and gradually enhance their language proficiency.
In addition to using English during group meetings, we engage in group chatting, which has fostered a daily habit of English usage among all teachers This practice encourages us to search for unfamiliar words, phrases, or structures online, gradually enriching our vocabulary When one member introduces new vocabulary or structures in the chat, it benefits the entire group Ultimately, the innovative approach to group meeting content and procedures has established a sustainable English-speaking environment at Hoang Mai 2 School, enhancing the overall competencies of teachers, particularly in speaking skills.

CONCLUSION AND RECOMMENDATIONS
Speaking is a complex process that goes beyond merely using words; it is a productive skill that requires extensive practice Typically, students learn to speak before they engage in reading and writing, as spoken English enables them to effectively convey their ideas This form of communication serves as a direct link between minds, making it the most effective way to ask questions or provide explanations English, in particular, acts as a bridge connecting individuals from diverse regions, cultures, religions, and nations Among the four language skills, speaking holds a crucial role in facilitating communication.
Speaking skill is so important that we have to consider it a priority when teaching English at school
Young teachers often enter the workforce with a strong command of spoken English, characterized by their beautiful and sweet voices However, in many schools, their effectiveness is primarily measured by their students' entrance exam scores, leading them to focus heavily on grammar, reading, and multiple-choice exercises, often using Vietnamese in class This practice gradually diminishes their speaking skills, which are essential for teaching students to communicate effectively in English To address this issue, it is crucial to enhance teachers' overall competencies, particularly their speaking abilities, to meet the demands of modern education Group meetings present valuable opportunities for English teachers to improve their speaking skills and foster a sustainable English-speaking environment By innovating the procedures and content of these meetings, we can create an engaging platform for teachers to boost their confidence, develop their interest in speaking English, and showcase their linguistic and intellectual capabilities.
Innovating group meeting procedures and content fosters an English-speaking environment that enhances members' speaking skills and overall competencies To ensure successful innovation in group meetings, it is essential to analyze and implement various solutions Recommendations should be directed to group leaders, members, schools, and the Education and Training Department to facilitate this process.
The principal should provide each group with their own designated meeting room This arrangement allows the English group to converse freely in English, without the concern of disturbing or being judged by other groups.
- Create conditions for E n g l i s h teachers to participate in study and improve their skills, participate fully in the training organized by the Department of Education and Training
- The schools should organize English-speaking competitions on the subject of study, at least once a year This activity will stimulate speaking English among students as well as teachers
2 For the Department of Education and Training:
To enhance the professional development of teachers, it is essential to implement more frequent training sessions During these courses, experts and facilitators should communicate in English to foster an immersive English-speaking environment, thereby encouraging teachers across the province to practice and improve their spoken English skills.
Annual seminars focused on innovative teaching methods provide a valuable platform for teachers to exchange ideas and share experiences These events enhance the quality of lectures and offer all educators the opportunity to practice and improve their English language skills.
- Hold English Speaking Contests for teachers annually This will motivate teachers to speak English and create a sustainable English speaking environment among teachers
