Overview of Data Department of Tai Viet Join Stock Company
The Data Department offers three main products and services: VietstockFinance, VietstockXLS, and VietstockResearch VietstockFinance is a reputable, in-depth financial website that provides comprehensive securities investment research and analysis; users can access unlimited, flexible data including financial statements, financial ratios, transactions, and macroeconomic data such as CPI, FDI, GDP, interest rates, and population statistics VietstockXLS delivers macroeconomic, financial, and securities data in Excel format, tailored for customer needs VietstockResearch offers access to financial statement data on demand through paid accounts, making it ideal for securities firms, financial institutions, analysts, researchers, consultants, and brokers Additionally, the Data Department collaborates with the IT Department to develop DataFeed, a specialized service that integrates dynamic economic and financial data into clients’ applications, web portals, and digital platforms.
Recently, VietstockXLS has been the primary service of the Data department, with customers submitting their requests via email To enhance customer experience, the department is simultaneously developing VietstockFinance alongside VietstockXLS Customers can now register for an account on the VietstockFinance website, which offers four subscription levels: Free, Basic, Pro, and Premium, enabling them to directly extract the data they need For data that cannot be accessed through their VietstockFinance account, customers simply need to send their requirements via email.
The Data Department is responsible for updating two types of information: periodic and non-periodic Periodic information, including annual reports, financial statements, and shareholder meeting resolutions, must be processed and updated within 24 hours of publication by all eight team members When there are no periodic updates, team members focus on non-periodic information such as dividend announcements, new listings, trading deregistration or delisting, additional listings, and changes to company details, ensuring timely and accurate data management.

In 2019, Vietnam’s financial market experienced robust growth driven by stable fiscal policies, monetary easing, and low inflation, making the country an attractive destination for foreign investment These factors created a favorable environment for the stock market's significant advancement, resulting in high revenue for Vietstock, which was a leading information channel during that period However, the stock market faced a downturn in 2020 and 2021 due to the outbreak of COVID-19, which began spreading in Vietnam early 2020 despite strict government measures The pandemic caused unpredictable fluctuations in Vietnam’s economy, leading to decreased demand for stock-related services amid rising market risks As a result, Tai Viet JSC’s revenue and after-tax profit were notably lower in 2020 and 2021 compared to previous years.

The Data Department of Tai Viet JSC experienced increased revenue due to its primary target customers—analysts, companies, institutions, and long-term investors—who consistently demand financial data, leading to a steady year-by-year growth in customer base Unlike other products and services of Tai Viet JSC, which are significantly affected by stock market fluctuations, the Data Department remains relatively stable, contributing to the company's resilience during periods of market instability in 2020 and 2021 Additionally, the Data Department not only provides crucial data to other divisions but also plays a vital role in stabilizing the overall revenue of Tai Viet JSC.
Summary of the internship
I had the honor of completing a data processing internship at Tai Viet JSC, where I received valuable support and guidance from the data department leaders and seniors throughout the over two-month program This internship provided me with a unique opportunity to observe, learn, and gain hands-on experience with real-world data processing tasks, enhancing my skills and understanding of the industry.
During my first month, I was tasked with importing real-time data from annual reports, financial reports, and shareholder meeting resolutions of companies listed on HoSE, HNX, and UPCOM This involved extracting key information such as organizational structure, revenue figures, labor force details, management structures, and revenue targets to support investor analysis of corporate performance The role required a thorough understanding of the purpose and format of these reports to ensure accurate data import and meaningful insights.
In the following month, I was in charge of importing financial statement into a system of the company, which can calculate financial ratio immediately July 20 th
In 2022, listed companies faced a deadline to publish their second-quarter financial statements, prompting my team to work overtime daily to ensure immediate data updates We utilize ABBYY FineReader software to convert these PDF financial reports into Excel files for accurate analysis These files are then imported into our company's system, where calculations of key financial ratios such as P/E and EPS are performed and synchronized with finance.vietstock.vn This process demands meticulous accuracy and timely execution, though detailed steps are beyond the scope of this report due to length limitations.
During my internship, I gained practical experience in processing data from reports to provide valuable insights to clients, despite the limited duration I was also able to apply my academic knowledge from Foreign Trade University, including principles from Law in Finance and Banking, in a professional setting This opportunity allowed me to enhance my skills and understanding of real-world financial practices, enabling me to set informed future goals related to the stock market.
RECEIVING AND PROCESSING DATA PROCEDURE AT TAI VIET JOINT
Overview of receiving and processing data procedure at Tai Viet Joint Stock Company
The Data Department manages the company's financial data WebTool, covering macroeconomics, industry, enterprises, and securities Its primary responsibility is to implement and oversee data input and output processes to ensure the delivery of accurate, objective, and fully updated information to the community The processed data is simultaneously provided to the Consulting Department and stored in the company’s WebTool, where it is sold as valuable products This operational framework supports the company's goal of providing reliable financial data and generating revenue through data products.
I was in charge of updating the periodic information The procedure is illustrated in Chart 2.1.

The data processing procedure involves four main steps, beginning with receiving reports from the stock exchange Among these, steps 2 and 3 are crucial because ensuring data accuracy provides reliable sources for investor analysis Accurate data also reflects positively on Tai Viet JSC's reputation, as it is promptly synchronized on the website and offered to customers for research purposes Consequently, the responsible personnel must verify that all information complies with Enterprise Law and Securities Law to maintain credibility and legal compliance.
Steps of receiving and processing data at Tai Viet Joint Stock Company
The initial step in data collection and processing involves obtaining essential reports submitted by companies on the stock exchange For companies listed on HoSE, these reports can be accessed through hsx.vn, while for those on HNX and UPCOM, reports are available on hnx.vn The key reports required include the annual report, financial statement, and the resolution or minutes of the general shareholders' meeting.
Under Circular No 155/2015/TT-BTC, public companies are required to disclose audited annual financial statements within 10 days of the audit report signing, but no later than 90 days from the fiscal year's end, extended to 100 days if approved by the State Securities Commission These financial statements provide detailed insights into a company's business performance, enabling investors to analyze the company's outcomes The annual report must be published within 20 days of the audited financial statements and no later than 120 days after the fiscal year's end, offering information on management and shareholder structures vital for evaluating the board's trustworthiness and strategic decisions Additionally, resolutions and minutes from general shareholder meetings should be published and regularly updated with any amendments until the next General Meeting.
Shareholders are provided with key information through minutes or resolutions from the general meeting, including the company's strategic targets and the composition of the board of directors and supervisory board, which indicate the company's potential tenure Adhering to this circular ensures timely receipt of reports to maintain market efficiency and informed decision-making.
2.2.2 Step 2: Import yearly data to WebTool
During my internship in 2021, I regularly updated the company’s WebTool, “web.niengiam,” developed by Tai Viet JSC’s IT department, by importing annual data such as subsidiary and affiliated companies, changes in charter capital, shareholder and major shareholder structures, revenue figures, management structures, and previous year’s business targets This data is stored in Vietstock’s WebTool and is available for sale upon request, ensuring comprehensive and up-to-date information for stakeholders.
Subsidiary and affiliated companies are identified through annual or financial reports, with legal criteria detailed in the Enterprise Law A company qualifies as a parent if it owns over 50% of the shares or charter capital, or has the authority to appoint most or all Board members or executives, or can modify the company's charter Typically, annual reports list subsidiaries directly; if not, the ownership percentages are available in financial statements While affiliates are not explicitly defined by law, they are generally considered entities where another company holds up to 50% of shares or capital For example, Electrical Construction Consulting 4 JSC (TV4) discloses its subsidiaries and affiliates within its annual report.
Appendix 1 TV4 owns 31% shares of Buon Don Hydropower JSC so that Buon Don Hydropower JSC is an affiliated company.

Electrical Construction Consulting 4 JSC (TV4), as detailed in Appendix 3, exemplifies a stable shareholder structure that supports consistent stock price growth Research indicates that companies with a high proportion of foreign investors are generally deemed more trustworthy, attracting investor confidence Monitoring changes in major shareholders’ ownership is crucial, as these shifts can significantly influence the company’s stock performance.
Revenue from services and goods is reported in the income statement and financial statement footnotes, providing essential data for analysis Investors often compare a company's revenue figures year over year to assess its financial performance and growth trajectory A company with consistently increasing revenue is generally considered more attractive to investors, as it indicates strong business performance and potential for future growth.
A solid business plan is essential for shaping a company's strategic direction and providing investors with clear targets, which must be reviewed and approved during the Annual General Meeting of Shareholders (AGM) as mandated by the Enterprise Law 2020 The law requires the AGM to be held within four months after the fiscal year-end, with possible extensions up to six months if necessary, and resolutions, including the business plan, must be communicated to shareholders within 15 days During the AGM, shareholders vote to approve or reject resolutions, with a minimum of 51% of total votes needed for approval; some resolutions may be amended after discussions It is crucial to confirm that the business plan targets—such as projected revenue and profits—are officially approved by shareholders, as demonstrated by the 100% approval rate for Electrical Construction Consulting 4 JSC (TV4) Once approved, these targets are inputted into the company's financial system and displayed on the website finance.vietstock.vn through progress charts, enabling investors to monitor plan implementation effectively.

According to Article 275 of Decree No 155/2020/ND-CP, the Chairman of the Board of Directors cannot simultaneously serve as the General Director or Director of a public company, ensuring clear separation of leadership roles within corporate governance.
Rarely, annual reports contain outdated information, such as incorrectly stating that the chairman of the board of directors is also the general director This inaccuracies highlight the importance of verifying official documents, such as the board of directors' resolutions, to confirm current leadership appointments and ensure the accuracy of published data.
To ensure accurate data updating and processing, I strictly adhere to relevant legal regulations Given the high volume of listed companies on the stock exchange, I prioritize speed and completeness in updating information Additionally, since annual reports and financial statements can sometimes be inaccurate, I verify data by cross-referencing both the official reports and the company’s official website to maintain data integrity.
2.2.3 Step 3: Import real-time data to WebTool.
Importing data from annual reports, financial reports, and shareholders' meeting resolutions into WebTool provides a comprehensive overview of a company's financial health To ensure real-time accuracy, the system also syncs major shareholders and management structure data with finance.vietstock.vn, sourcing information from shareholders' meeting resolutions, board resolutions, management change announcements, and shareholder ownership reports This seamless synchronization guarantees users access to the latest corporate updates directly from official sources as soon as companies publish them on stock exchanges.

During my internship at Tai Viet JSC, I gained practical experience in data processing procedures that align with my studies at Foreign Trade University Ho Chi Minh City, particularly in Finance – Banking Law and Financial Markets and Institutions I had the opportunity to work hands-on in the Data Department, deepening my understanding of stock market operations Tai Viet JSC demonstrates a robust data management process, which is a significant strength; however, I also observed some limitations that could be addressed for further improvement Overall, the internship provided valuable insights into the practical applications of financial data management within a reputable company.

Vietstock's Personal ID WebTool securely stores the personal information of listed company leaders, streamlining the process of updating management changes This efficient data management saves time for businesses and ensures accurate, up-to-date records Additionally, users can access detailed management workflows, enabling thorough analysis of the company's leadership structure and overall management performance.
Presenting the progress of the target plan through a clear progress chart enables investors to easily understand the company's quarterly production and business performance This visual approach facilitates better analysis of the effectiveness of the business strategy.
Besides the certain strengths, the process of receiving and processing information at Tai Viet JSC also has a few weaknesses that need to be overcome for further development.
The data is directly synced to finance.vietstock.vn without prior accuracy verification, which increases the risk of errors As Vietnam’s leading financial channel, displaying inaccuracies on the main website can damage Vietstock’s reputation in the stock market Furthermore, incorrect information can harm the interests of listed companies by leading to misjudgments.
WebTool, the outdated version used for updating information, presents several user inconveniences For instance, if users make errors during data import, they cannot easily delete or correct these mistakes within WebTool alone and must rely on Microsoft SQL Server to resolve issues This process can slow down workflow and reduce overall efficiency for users.
At Tai Viet JSC, a small team of just 2 to 3 people struggles to keep up with the extensive data updates required, especially during peak times such as the beginning of the year and quarter-end reporting periods Consequently, Vietstock prioritizes updating information for large companies that attract significant investor attention, leaving smaller businesses less thoroughly covered This approach results in limited updates for small firms, impacting their visibility and investor benefits As a result, investors interested in smaller companies face challenges in tracking and analyzing their business performance effectively.
The ownership structure is displayed as a pie chart on finance.vietstock.vn; however, it does not clearly indicate the proportions associated with different shareholder groups, leading to potential confusion for investors seeking clear information This technical error undermines the original purpose of providing transparent ownership data, emphasizing the need for the Data Department to review and correct the information to ensure accuracy and clarity on the website.
The business's revenue is not directly synchronized to the website; instead, it is stored in the WebTool to facilitate on-demand data sales This setup complicates investor analysis of the company's performance and financial results, making it challenging to assess the overall business health efficiently.

The US Federal Reserve remains a key influence on global financial markets, impacting investor confidence worldwide Meanwhile, Vietnam's stock market has experienced multiple incidents of stock price manipulation, resulting in significant harm to investors' profits These issues have heightened concerns over market safety and transparency, leading to investor hesitation and reduced participation Consequently, decreased investor activity has negatively affected the demand for products and services offered by Vietstock, further challenging market stability.

In 2019, Vietnam’s financial market experienced strong growth driven by stable fiscal policies, monetary easing, and low inflation, making the country an attractive destination for foreign investment and fueling stock market development As a result, Vietstock saw high revenue due to increased demand for stock information services, establishing itself as a leading platform However, the stock market declined in 2020 and 2021 due to the COVID-19 pandemic, which began spreading in Vietnam early 2020 despite strict government measures The pandemic caused unpredictable economic fluctuations, reducing the need for stock-related services amid heightened market risks Consequently, Tai Viet JSC's revenue and profit after tax were lower in 2020 and 2021 compared to previous years.

The Data Department of Tai Viet JSC experienced increased revenue due to its primary target customers—analysts, companies, institutions, and long-term investors—who consistently demand financial data, with the customer base expanding annually Unlike other products and services of Tai Viet JSC, which are significantly affected by stock market fluctuations, the Data Department remains relatively stable, leading to its increased contribution in 2020 and 2021 amid market instability In addition to supporting other departments with essential data, the Data Department also plays a crucial role in stabilizing the company's overall revenue.
I had the honor of completing a data processing internship at Tai Viet JSC, where I gained valuable hands-on experience in the data department Throughout the over two-month internship, I received excellent guidance and support from company leaders and senior team members This opportunity allowed me to observe, learn, and engage with real-world data processing tasks, enhancing my skills and understanding of industry practices.
During my first month, I was tasked with importing real-time data from annual reports, financial reports, and shareholder resolutions of companies listed on HoSE, HNX, and UPCOM These reports provided essential information for investors to analyze company performance, including organizational structure, revenue figures, labor force composition, management structure, and revenue targets This role required a thorough understanding of the purpose and formats of annual reports, financial statements, and shareholder resolutions to ensure accurate data extraction and analysis.
In the following month, I was in charge of importing financial statement into a system of the company, which can calculate financial ratio immediately July 20 th
In 2022, listed companies were required to publish their second-quarter financial statements by the deadline, prompting my team to work overtime to ensure timely data updates We used ABBYY FineReader software to convert PDF financial statements into Excel files, which were then imported into our company’s system for further processing Our system calculated key financial ratios such as P/E and EPS and synchronized the data with finance.vietstock.vn, a process demanding accuracy, thoroughness, and promptness Due to space constraints, further details of this process are not included in this report.
During my internship, I gained practical experience in processing report data and delivering insights to clients, despite the limited duration I also applied knowledge from my studies at Foreign Trade University, including courses like Law in Finance and Banking, providing me with valuable real-world insights This opportunity allowed me to work in a professional environment, enhancing my skills and understanding of the industry As a result, I am now better equipped to set future goals related to the stock market and financial analysis.
CHAPTER 2: RECEIVING AND PROCESSING DATA PROCEDURE AT TAI VIET JOINT STOCK COMPANY 2.1 Overview of receiving and processing data procedure at Tai Viet Joint Stock Company.
The Data Department manages the company's financial data WebTool, covering macroeconomics, industry, enterprises, and securities Its primary responsibility is to ensure accurate, objective, and fully updated information is provided to the community The department handles the entire data lifecycle, including input and output stages, to meet these goals Processed data is simultaneously supplied to the Consulting department and stored in the company's WebTool for sale as data products, supporting the company's mission of delivering reliable financial insights.

The data processing procedure consists of four main steps, starting with receiving reports from the stock exchange Among these, steps 2 and 3 are the most critical, as accurate data importation is essential for providing reliable sources for investor analysis Ensuring data correctness directly impacts Tai Viet JSC’s reputation, as synchronized data is immediately updated on the website and sold to customers for research purposes Therefore, the responsible personnel must verify that all information complies with Enterprise Law and Securities Law, maintaining the company's credibility and regulatory compliance.
2.2 Steps of receiving and processing data at Tai Viet Joint Stock Company 2.2.1 Step 1: Receive reports from stock exchanges
The initial step in the data collection process involves obtaining essential reports submitted by companies on the stock exchange Listed company reports on HoSE can be accessed through hsx.vn, while reports for HNX and UPCOM listed companies are available on hnx.vn The three key reports required include the annual report, financial statements, and minutes or resolutions from the shareholders' general meetings, ensuring comprehensive financial and corporate governance information.
According to Circular No 155/2015/TT-BTC dated October 6, 2015, a public company must disclose its audited annual financial statements within 10 days of the audit firm signing the audit report, but no more than 90 days after the fiscal year's end (extended to 100 days if authorized by the State Securities Commission) These financial statements provide detailed insight into the company's business performance, enabling investors to analyze operational outcomes The annual report, which includes management and shareholder structure, must be published within 20 days after the audited financial statements are released and no later than 120 days from the fiscal year's end This report helps investors evaluate the Board of Directors’ performance, trustworthiness, and strategic decisions Additionally, resolutions or minutes from general shareholder meetings should be published and updated with any amendments until the end of the meeting.
Shareholders' meetings provide essential information such as the company's business targets, the composition of the board of directors, and the supervisory board, which collectively indicate the company's strategic direction and potential tenure Adhering to circulars and receiving timely reports ensure transparency and enhance market efficiency This proactive approach helps investors make informed decisions and supports the overall health of the stock market.
