This study was carried out at Jet Delivery Logistics Viet Nam Company Limited (JDL

VN Co Ltd) with all of staff from its different departments The purpose of theresearch is to investigate the English level of JDL VN staff and the status of usingtheir English skill in business negotiation

The research uses quantitative methods, its data was mainly collected fromobservation sheets, questionnaires and interviews Survey questionnaires were set up

to distribute 60 employees in the Business Department of the company Theinterviews were conducted randomly among three team leaders in this department.Raw data was converted to numbers and percentages Findings from instrumentsreveals that the staff in the Business Department of JDL use English as one of theprincipal skills in completing their tasks English plays a vital role not only in staff’snegotiating but also in their many different works Moreover, according to researchresults, the researcher found out the major obstacles of the staff when they make use

of their English communication The researcher hopes this study can help staff in theBusiness Department realize the importance of English towards their current careerand find their appropriate ways to improve their English communication Through thisresearch, researcher also would like to support the further studies avoid shortcomingsand limitations

CHAPTER1: OVERVIEW OF THE STUDY

1.1 Rationale

Nowadays, English, like oxygen, plays an important role in our everyday life It

is not only considered the official language in 53 countries but also spoken as a firstlanguage by around 400 million people worldwide Throughout the world, whenpeople from different nationalities want to communicate, they commonly use Englishlanguage Then, this second popular language of the world gives us an opening door tothe world, in which we easily travel, communicate and make friends with globalcitizens

Moreover, contributing to bring us new career opportunities with better andstable salaries These days, the job market is global—many companies needemployees who can communicate with partners and clients all over the world.Multinational business organizations and many international corporations alwaysprefer people who have fluency in English Even job advertisements in the localmarket also require knowing people Very often, that means they are obviouslyfinding employees who speak English No matter what career path you decide topursue, learning English is a valuable skill to help you become a better, more sought-after employee as well as a more well-rounded person

Moreover, English gives access to a large wealth of entertainment because it iscurrently the language of the internet and the main published language of many films,

TV shows, books and music Having given us opportunities to enter the world media,English knowledge allows us to have a greater cultural understanding as well asaccess to an incredible amount of information

In the current global economy, English is considered the dominant businesslanguage, which is used widely by the international business community Tocommunicate across national borders and maintain correspondence with overseasbusiness parties or professionals, English is extremely essential

However, for doing business, only excellent English staff is not enough to keepthe sustainable operation of the company In the context of the increasing global

integration, each business now becomes a combatant in the economic battle, whichincludes their both domestic and international rivals When the competition on themarket is increasingly acrimonious, instead of constantly competing, many businesseswill choose to negotiate with each other to resolve conflicts, reduce competitors, gainbenefits, and even build long-term partnerships In other words, negotiation is a reallysignificant factor, which supports the company’s position in the market Negotiating isboth an important and sensitive issue A successful negotiation brings goodrelationships and interests, when its failure leaves the companies many seriousconsequences.

Then, it is extremely essential to know how to use English and communicateeffectively to obtain success in not only negotiation but also many other factors ofbusiness

Therefore, I decided to choose “A study on the use of English in business

negotiations of JDL VN Company staff and some suggestions for improving English communication” as the topic for my research with the hope that we will find

out the tips when using English in business negotiation, especially Englishcommunication, to get good results in our work

of English as required by the employees majoring in business administration(BuAdmin) and yielding some mismatches between the current ESP curriculum andthe current needs

Sales communication skills at Hanoi Fahasa bookstore (Do Thi Thanh – Hanoi

University of Culture, 2014) The topic went into research into sales communicationskills of bookstore employees Fahasa, Hanoi Its goal was to make a general

assessment of the important role of sales communication in customer acquisition andbusiness success After that, thanks to the research findings, the researchers suggestedsome possible recommendations to improve communication skills and achieve theexpected results for business.

English for Business Communication (Vijay Bhatia, and Stephen Bremner,

Department of English, City University of Hong Kong, 2012) The main purpose ofthis article was to attempt to review as much as possible of the research published inthe last few years to offer an evidence-based account of the recent theory and practice

in English for Business Communication After that, it also aimed to indicate whichway this field is likely to go in the coming years Therefore, the article took as its startpoint an overview of English for Business Purposes, looking at the developments in itsareas such as variation in functional language description, needs analysis, curriculumdesign, methods and materials development, assessment and evaluation, anddisciplinary variation Then, it moved to study the proposed concept of English forBusiness Communication (EBC) and considered how this was an outcome of thegradual convergence of concerns in both EBP and Business Communication studies.Building on this, the article looked at the critical issues and challenges posed byBusiness Communication studies Finally, suggestions were made as to possibleopportunities for replication studies

Problems and need for English communication improvement of employees at a private university (Miss Phasitapha Boonyachokanan – 2018) This research

investigated the problems in using English for communication and explored the skillsthat the employees need to improve the most Its participants are the employees fromeight departments because they have the opportunity to communicate with foreigners

at work The results of this study show that the mean scores of problems in the use ofspeaking, listening, writing, and reading skills were high In terms of speakingproblems, the majority of the respondents thought that the cause of their speakingproblem was that they lack vocabulary knowledge The major problem in listening asrated by the respondents was that they could not catch words because the speakerspeaks too fast Moreover, the research’s results also revealed that a lack of techniqueknowledge, a lack of vocabulary knowledge and English grammar knowledge were

rated as the least significant problems of the respondents In addition, the findingsindicate that the skill that they need to improve the most was speaking as it was rated

as the most necessary skill for the respondents at work Therefore, the researcher gavesome recommendations for further research

All these studies not only helped me to accomplish my research with precious

knowledge but also inspired me to conduct “A study on the use of English in

business negotiations of JDL VN Company staff and some suggestions for improving English communication” which aims at finding out difficulties and

suggesting some solutions for human resource in every company to improve Englishcommunication ability, successfully negotiate and get high business results

1.3 Aims of the study

The primary of this study is to investigate the English level of JDL VN staff andthe status of using their English skill in business negotiation Then by using theseobtained results to find out subjective and objective factors which involve in causingthis reality, as well as propose the solutions for both manager and staff in gainingexperience, improving English communication skills, and achieve expected outcome.The study used quantitative and qualitative methods of data collection Its aim is

to answer the following research questions:

1 How do JDL VN Company staff use English in their work, especially in the negotiating process?

2 What are the difficulties that JDL VN Company staff face when applying English communication skills to deal with troubles from company’s customers and partners?

3 What are the possible solutions to solve those problems?

1.4 Research subjects

The study focuses on the status of using English for business negotiation of JDL

VN staff It included the frequency, objects, and goals of English using, level, and theattitude towards the role of English skills in their work

Having been conducted by the staff in the Business Department of JDL VNCompany, who always take their responsibility to keep in touch with their current

agents and collaborators, approach potential customers, this research also aimed tobuild and maintain good relationships with them.

1.5 The research participants

The contributors of the study are 60 random staff from three different teams(Sales team, Purchasing team, and Customer Support team) in the BusinessDepartment of JDL VN Company Limited, who would provide the responses insurvey questionnaire Additionally, this study also got the participation of threeleaders who manage staff in those three teams These three team leaders gaveresearcher a donation to obtain the detailed answers in the interviews

1.5 Scope of the study

Because of the limitation in pages of the graduation paper along with theconstraints of time and experience, it is impossible to study the status of using English

in all JDL VN staff The research is only carried out on a small scale, which includesthe random staff from the Business Department of the company It focuses onunderstanding and investigating the level of using English in their negotiations, thenfinding difficulties and suggesting suitable solutions to help them improve theirEnglish communication These staff definitely have to apply English to work incertain frequency depending on each position and responsibility Thus, the collecteddata were derived from their own experience in practice and were not influenced byother factors such as friends, colleagues, or directors

1.6 Research methodology

1.6.1 Research design

Sixty staff in three teams of the Business Department from JDL VN limitedcompany have been selected as participants for the survey questionnaires and three ofthem who work as team leaders, were interviewees All of these staff use Englisheveryday as required of their job Due to the nature of work, the number of male andfemale participants is significantly different However, this might not affect the result

of the study

The research uses both quantitative and qualitative methods with a hope to divedeep into the issue thoroughly The data and information have been collected fromtwo sources: the questionnaire and interview

The questionnaire was designed with questions divided into two parts which wasenough to be responded to by staff within twenty minutes Part one consists of basicinformation about the English levels of the staff and their needs to use English forwork, which are evaluated by themselves This part also has some questions that aim

to identify the staff’s attitude towards English, as well as their willingness to suddenlytalk to foreigners and to catch the chance of their English improvement While parttwo includes questions about the frequency of working with English and learningmethods staff have applied As a result, the researcher would have more accurateinformation to evaluate the status of using English and propose possible and effectivesuggestions for staff to improve their English communication skills

The interview was designed into five questions to dip deeper into the issue Aninterview is a formal face-to-face meeting between the interviewer and theinterviewee The questions are asked to obtain information, qualities, attitudes, wishesfrom five team leaders, who take roles of supervising and managing their subordinatestaff The first question was about to identify their ideas in terms of the importance ofEnglish communication for staff in the company The second question aimed to findout the relationship and understanding among leaders and their team members Then,question three supports getting the information about the common obstacles that theyand their staff have encountered when communicating with foreign partners from theview point of experienced managers From the present situation, the two last questionswere asked to see whether they have tried any effective methods to improve theirEnglish skills and got any personal ideas or suggestions in helping their staff getimproved English communication Each interview lasted at least ten minutes.Through these interviews, researcher, researcher could also explore more about thepersonal ideas which cannot be shown clearly in the questionnaire

1.6.2 Research instruments

Regarding its aims, which is to examine the using status and detect Englishcommunication problems among Business Department staff, the study has beenconducted in both quantitative and qualitative methods in order to reduce the potentiallimitations of using only a single approach Therefore, the data have been mainlycollected by means of questionnaire and face-to-face interview

1.6.3 Data collection

Survey questionnaires are used for collecting data and information because of itsusefulness and speediness The researcher designed a questionnaire consisting ofquestions with increasing specificity Each questionnaire contains questions about theusing English frequency of JDL VN staff, their attitude toward using English skill forwork, their difficulties in English communication skill The questionnaires areestablished in some different types such as Likert questions, Close-ended questions,Open-ended questions

The interview comprises five questions conducted on leaders of three differentteams to get a deeper understanding of the issue As the team leaders, they definitelyhave worked with many staff and foreign partners so that they could provide usefuland accurate information about the asked questions

1.6.4 Data analysis

The data were collected via two different instruments: interview andquestionnaire After having been collected from the responses of staff and managers,data and information were analyzed to serve for answering the research questions Thequantitative data gathered in the survey questionnaires were converted intopercentages and showed in the form of specific charts and tables The answers forsome opened questions were analyzed qualitatively

Excel was chosen as a method used to conduct data analysis This is one of themost popular spreadsheet software, which allows us to easily make calculations Aftercollecting data files, there is a need to grade those responses Therefore, the data,formulas and functions were entered into the worksheet to calculate automatically.After that, because of the need to format the worksheet and embed pie charts and bargraphs to show the results, the charts and supporting data appeared to present the clearpercentage rates By this way, Excel software also helps the researcher to evaluate andclassify collected data in each group based on their common points This contributes

to help the researcher easily recognize the crux of the issue and rapidly obtain theresearch results

1.7 Organization of the study

The study was logically composed of 4 chapters

Chapter 1 (Overview of The Study) is the same as an introduction about the

general background of this research The chapter includes the rational, previousstudies, aims of the study, research question, research subjects, scope of the study,research methodology and organization of the study

Chapter 2 (Theoretical Background) provides the basic theories and needed

information for this study It’s divided into three main parts Each part includes itsmore retail contents that accommodate clear evidence for the researcher to make thearguments in the research topic The first basic part brings us some popular definitions

of negotiation and explains the role of negotiation in business operation The secondone provides the necessity of using English in current context, as well as theexplanation of the business English and English communication This part alsospecifies the importance of English communication towards every business activity.The final part gives us some common obstacles that people often encounter whencommunicating in English with each other

In chapter 3 (Research Findings and Discussion), the researcher presents and discusses the new findings from the results obtained after the actual survey by

analyzing data and information from questionnaire, interview and observation

Chapter 4 (Conclusion) is the summary of the study, presented some possible

solutions for improving English communication, gave the limitation of the researchand suggestions for further study

CHAPTER 2: THEORETICAL BACKGROUND

2.1 Negotiation and the importance of negotiation in business

Additionally, negotiation is the process of getting the best terms once the other side starts to act on their interest In other words, negotiation is a process to get what

is wanted It is a process that means to an end (McCormack - On Negotiating, 1995)

According to Iké (1968), to begin with, two elements must normally be present for the negotiation to take plac e: Th e re must be both common int e re sts and is s u es of conflict; if there are no common interest s t he re i s nothing to negotiate about and without conflicting i ss u es nothing to n egot iat e a bout

Then, we could define the characteristics that a negotiation firstly is a strategicdiscussion that resolves an issue in a way that both parties find acceptable Anegotiation can take place between the seller and the buyer, between the employer andpotential candidate, between a representative of one country and a counterpart ofanother country, etc The parties involved in negotiations, who communicate to give

and get ideas, are called negotiators Negotiators influence the negotiation process with their own experience and negotiating skills (Ghauri and Usunier, 2003).

Negotiating process often lasts for a short time or for a long time up to years.About its aims, negotiation is often used to reduce debts, lower the sale price of ahouse, improve the conditions of a contract, or get a better deal on a car

2.1.2 The importance of negotiation in business

Firstly, negotiation helps companies both achieve their interests and build betterrelationships The aim of any negotiation is to reach an agreement that results in

mutual benefits Therefore, successful negotiation makes each party satisfied andwilling to do business with each other in future.

Secondly, negotiation delivers lasting and quality results rather than poor term solutions that do not satisfy the needs of either party Actually, the parties decide

short-to negotiate with each other when they realize that their opponents also have the samegoals or need an exchange with them to get the final interest Then, the negotiationsare aimed to reach a solution satisfying all There will not be any conflicts, tensions ordisputes after the negotiations successfully finish

Thirdly, negotiation also helps companies avoid future problems and conflicts.Because nobody wants to fight and oppose others forever, no company wants to have

a competitor in such a long time Negotiation brings them opportunities to meet, listenand understand each other more Thus, negotiating can not only find out problems andsolutions of the conflicts but also build a good long-term relationship among theparties in near future

2.2 Related notations of English in business and the role of English

communication

2.2.1 English in current context

English now is considered as an essential thing in our daily life It has become alanguage of global communication, which is official in 53 countries and spoken as afirst language by around 400 million people worldwide Moreover, English is also themost common second language in the world, which connects people around the world,not only in England Therefore, it helps us confidently travel, communicate, makefriends, and learn

Removing the barriers of language differences, English brings us a chance tomeet, chat and understand more about the people as well as cultures and customs ofother countries Thanks to this language, international relationships are also built andgetting better and better

Additionally, fluent English ability opens a door with many career opportunities.Most businesses require English knowledge when finding their candidates Althoughthis requirement has different levels, depending on each certain position and its

responsibility, English is always an indispensable subject in every job application orinterview of most companies, whether large or small scale.

2.2.2 English for business

In the current global integrating economy, the role of English is increasinglysignificant The staff speak English in most of the company's transactions Then,

English used for business fields, which is also called the Business English, is a specific language corpus and emphasis in a particular kind of communication in a specific context (Ellis and Christine, 1994)

According to Pickett's idea (1989), business English is a mediating language between the technicalities of a particular business and the language of the general public It is not purely for intra group communication.

Some others agree with the statement that Business English is not a special language It is simply English used in business situations If there is a special language of business, it tends to be the language consisting of specialized terms.

Business English takes in all parts of the business world in both commercialcontacts and language teaching It plays an important role in all activities related tobusiness it is acknowledged as an international language business people shouldacquire English in business is so important because it is used as a means ofcommunication in everyday business situations

2.2.3 English communication and its role in doing business

In the category of Business English, communication is the process of sharing information, especially when it increases understanding between people or groups Communication can be transmitted in both written and spoken messages.

After finding and reading some researches about the categories of communication, wecould draw conclusions about those types as follows:

➢ Spoken or Verbal Communication is the use of language to transfer information

through speaking or sign language, in which people use their voice or speech tomake a talk, state, or an announcement It is often used during presentations,video conferences or phone calls, meetings or one-on-one conversations

Therefore, verbal communication is one of the most common and efficient

options

➢ Non-Verbal Communication is the use of body language, gestures and facial

expressions to convey information to others It can be used both intentionally andunintentionally Non-verbal forms of communication often depend on how wedress or act, where we stand, and even our scent Although it is voicelessly used,people who are in the same circumstance or time or position could still catch allthe meanings easily

➢ Written Communication is the act of writing, typing or printing symbols likeletters and numbers to convey information It is helpful because it provides arecord of information for reference Writing is commonly used to share

information through different means, including letters, e-mails, books,

magazines, pamphlets, blogs, memos and more Emails and chats are a commonform of written communication in the workplace

● English communication skills

Every language is also described in terms of the four basic language skills.English skills refer to four main skills of English: reading, listening, speaking, andwriting Yin and Wong (1990) explained the tasks of these skills as follow:

Speaking skill refers to speaking to customers, participating in meetings, communicating with colleagues and superiors, making and receiving telephone calls and so on Listening skill refers to telephone message, oral instruction Writing skill refers to writing all the genres listed under reading, messages, memos, and filling in forms Reading skill refers to reading business letters, reading reports, reading work manuals, reading memos, and newspaper articles.

All of these skills are extremely necessary, so we have to use these skills to dodifferent tasks based on requirements and goals of each task

English Communication is considered as a skill which involves systematic and

continuous process of English speaking, listening and understanding Englishcommunication is not helpfully used only with native speakers but also between non-native English speakers Hence, it has become the most important skill of all workersand enterprises

● The importance of English communication skills towards business operation

We use communication every day in nearly every circumstance, including inboth life and workplace Whether we give a sign to express our attitudes, directly talk

to others, or present information to a large group, communication is absolutelynecessary It contributes to build relationships, share ideas, delegate responsibilities,manage a team, and much more Learning and developing good communication skillscan help you succeed in your career by becoming a competitive job candidate, andalso make your life smooth and easy

Nowadays, when the national economy is in process of integration, English hasbecome a language for the global business world More and more large corporations inthe world force their employees to use English, seeing English as a common corporatelanguage Excluding corporations based in indigenous countries (UK, US), in Asia,businesses such as Samsung, Rakuten are gradually expanding their scope ofactivity and investment The trend of using English in businesses has become moreand more popular Therefore, English communication skill is very important toemployees as well as the manager team because it allows them to achieve effectivework productivity
