Trang 2This thesis was conducted to explore the current difficulties in writing inEnglish of staff at Viard Technology Company Limited and find out some possiblesolutions for staff’s English writing skills
To reach the desired target of the present study, the author uses two mainresearch methods, namely the questionnaires and interview Those who providedinformation to participate in the questionnaires were 20 staff at Viard TechnologyCompany Limited In addition, the interview was carried out with staff andmanagers at Viard Technology Company Limited
The data and result were collected and analyzed showing that staff at ViardTechnology Company Limited do recognize that using English in business isimportant and necessary Even so, they still encounter some difficulties in writing inEnglish to their customers such as grammar, vocabulary, expression and knowledge
Based on the analysis and discussions, some practical solutions to thedifficulties along with findings for better performance were proposed at the end ofthe study Hopefully, this paper will be of great value for business staff while usingEnglish in writing to contact their customers and useful for further studies

In the era of international integration, we cannot deny English has become themost crucial foreign language not only in the international market but also inVietnam English has dominated the world in most fields such as science,technology, media, electronic communication, publishing, music, economy,international transactions, etc Currently, there are more than 380 million peoplearound the world using English as a native language and around 250 million peopleusing English as a second language It makes a significant contribution to dramaticglobal development
In Vietnam, we can realize that the best and the shortest way for us toachieve success in our career is making us become a master in English To get this,people have to be professional in four skills: listening, speaking, reading andwriting The business industry is very diverse because it includes workers andclients with different languages, ethnicities and cultures in the world, which makesthe English language essential for effective communication Beside speakingEnglish, we can see that English writing skill is very vital for workplace, especially
in business With the help of digital technology, there are more and more ways for
us to communicate with customers by writing In companies working withforeigners, hundreds of emails or texted messages are sent every day Therefore,English writing skills become more and more necessary than ever
In reality, the use of English of employees at the company is not as good asthe company expected, especially in Viard Technology Company Limited, acompany providing service in homework for foreigners Therefore, ViardTechnology Company Limited has to do business with many clients who come from

In this study, I will explore the difficulties in writing English of the staff atViard Technology Company Limited and support some suggestions for the staff toimprove their English writing With the aim to help the staff at the company
enhance their English writing, I carry out this study with the title: “Problems and Solutions to Improve Writing Skills for the Staff at Viard Technology Company Limited”.
1.2 Previous studies
To complete a good graduation paper, while making this thesis I haveconsulted it and selected some good ideas from studying: A study: "Businesswriting skill" (By students of Charle Sturt University, 2008) reviews particular styleand standard of some common correspondence type such as email, reports, memos,mentions, requirements and skills necessary for formal business writing Besides,the authors also instruct the readers how to improve each of the type and give themquick writing tips in order to create a professional document The study by AliyaAimoldina, Sholpan Zharkynbekova and Damira Akynova (Philology Department,L.N.Guimilyov Eurasian National University, Kazakhstan), which examines intoPragmatic Failures, is also fairly interesting to discuss here In this study, the triohas identified a number of reasons for pragmatic failures in communication through

To sum up, there are some previous studies on errors and improving of writingbusiness documents All the studies show that different aspects of the problem givethe reader a more multidimensional view and to recognize the importance ofimproving writing skill for us in general and for employees in particular In this part
of the study, some previous studies related to this study will be reviewed to identifyEnglish wring email errors and proposed some solutions to improve English writingskills for Viard Technology Company Limited
1.3 Aims of the study
Based on major findings of previous research relating to writing skill, and thereality in writing English of staff at Viard Technology Company Limited, this study
is carried out with the aim to identify common difficulties in writing English of thestaff at Viard Technology Company Limited when writing to communicate withtheir customers By recognizing those obstacles, I would like to suggest somesolutions for the staff to enhance their English writing ability
1.4 Research subjects
This research is designed with the participation of twenty staff and directors atViard Technology Company Limited All of the staff are different in English

2 What are some solutions to improving their writing skills?
1.5 Scope of the study
Due to the limitations of time to carry out this study and my limitedknowledge, I only focus on finding out the difficulties in writing English of the staff
at Viard Technology Company Limited
This study is conducted during and after my internship time (lasting from 5th
February 2021 to 31st March 2021) I hope that this study is going to reveal thebiggest challenges of writing English of the staff and help them take into practicalsolutions to enhance their English writing abilities
1.6 Methodology
1.6.1 Context of the study
Viard Technology Company Limited is a company specializing in providingclients with helping in homework's service
With the aims and tasks, the staff in the company are required to communicatewith many people from over the world They are from America, Europe, Japan,Korea, etc It means that their work is related to English very much To fulfill the

1.6.2 Participants
Due to the growing number of foreign companies in Vietnam, it appears thatthe role of English language has been appreciated more than ever As English is thestandard language for people to meet together in communicating, negotiation,transaction and other purposes of their business in the period of integration Reading
in English is essential for maintaining professional knowledge, as it is the languagemost often used in international journals, contracts and instructions Writing tends
to be the most important skill in service industries where social interaction is a bigpart of the job
This study is carried out in Viard Technology Company Limited Therespondents of the study were 20 employees mostly from some departments:Customer Support (Sale), Human Resources, Quality Department The employees
in these departments use writing skills more often than others; therefore, they werechosen as the respondents They use English writing skills to communicate withinternal and external workplaces
1.6.3 Research methods
Varieties of quantitative and qualitative research methods are available to theresearcher such as interviews, questionnaires, observation, experiments, and casestudies This research is a descriptive qualitative study involving 20 staffs at ViardTechnology Company Limited Due to their advantage and convenience, tworesearch instruments, namely questionnaires and interviews were used to collectdata serving for this study They will be discussed in details below

Accurate and systematic data collection is very necessary to conductscientific research Data collection allows us to collect information that we wantabout our study objects According to McMillan and Schumacher, the data used inresearch should be collected through various instruments to maximize their validity.1.6.3.1.1.Questionnaires
The primary source of this study is taken from respondents by giving answersfor questionnaire The questionnaire is chosen as a data collection method for thestudy and designed for the staff at Viard Technology
The questionnaire contains 16 questions In more detail, it is divided into 3parts This first part was designed for collecting general information of theemployees Questions in part 2 aim at finding out the reality of the employee’swriting skills at workplace such as the common errors in English writing which theemployees often find difficult Part 3 mainly seeks for the solutions and suggestionsthat the employees need to improve writing skills In general, it can be said that thequestionnaire is the most useful tool for researchers to collect data quickly andfully
1.6.3.1.2.Interviews
The interview has two main questions related to the difficulties and some realsituations participants face at workplace as well as recommend some solutions tosolve them
This type is face-to-face interview The interview is conducted with the staff.All of them agreed to help the researcher comfortably

1.6.3.2 Data collection procedures
In the first step, the questionnaires were sent to the staff at Viard TechnologyCompany Limited Data collection allows us to collect information that we wantabout our study objects According to McMillan and Schumacher, the data used inthe research should be collected through various instruments to maximize theirvalidity The survey questionnaires were directly delivered to employees, all of thequestionnaires were returned to the author All of the questions in the surveydelivered to the informants were written in Vietnamese to make sure to raise thereliability of the topic Another English version was made for better reference to thestudy The questionnaires include three parts: general information and the questionsconcerning the topic, which consist of both closed questions and opened questions.Some questions have more than one choice so the total percentage may be higherthan 100%
The second research tool which was used in this study was the interviews Thequestions were pre-determined The interviews were conducted with some staffsand managers To make the data reliable and accurate, all the questions were made
in Vietnamese The interview questions included specific example and experience
of the staff when they have difficulty in speaking as well as possible solutions of thestaff and managers at Viard Technology Company Limited The interviews weresimultaneously conducted with the survey questionnaires The interview dataanalysis will be presented with the collected data from the questionnaires in eachpart
1.6.3.3 Data analysis methods
Trang 15Data analysis is a process of inspecting, cleaning, transforming and modelingdata with the goal of highlighting useful information, suggesting conclusions andsupporting decision making When data collection is accomplished, the dataanalysis started.
In terms of obtained data in the questionnaires, the results were collected,condensed, quantified, and analyzed by means of the Microsoft Excel softwareaccording to the percentage In terms of interviews, the data were synthesized in theform of comparative statistics with the ones from questionnaires Then the dataillustrated and systematized in charts and tables for a clear description of thefindings, helps to confirm the results from survey questionnaires
Lastly, all the data collected from the two instruments were grouped undertwo main areas as mentioned in the first part of the research In details, the results ofthe questionnaires, which will be analyzed under two main areas, include thedifficulties in writing English of the staff at Viard Technology Company Limitedand possible solutions whereas the interviews help to double-check the informationand deeper understand the factors to have an overview of the situation
1.7 Organization of the study
The study consists of five parts as follows:

which includes the reason for conducting the study, review of the previous studyassociated to the topic, the aims, research subject, the scope, the researchmethodology and the organization of the study

2.1.1 Definition of Writing and Writing skills
2.1.1.1 The Definition of Writing
There are many different ways to define writing, each expert has their ownview about writing and writing skills In this paper, some of the important expert’sviews are mentioned for the better understanding of the writing skills
Brown (2001: 336) identifies writing as the process of putting ideas down onpaper to transform thought into words, to sharpen your main ideas, to give themstructure and coherent organization Oshima & Hogue (2007: 15) state that writingnever is a one-step action; it is an ongoing creative act Writing is a repeatedprocess, namely the process of revising and rewriting
According to Nunan (2003), writing can be defined by a series of contrasts: It
is both a physical and a mental act Writing is the mental act of committing words
or ideas to some medium On the other hand, writing is the mental work ofinventing ideas, thinking about how to express them and organizing them intostatements and paragraphs that will be clear to a reader Its purpose is both toexpress and impress The writers serve two masters: themselves and their owndesire to express an idea or feeling and readers who need to have ideas expressed incertain ways Then choose the best form for their writing It is both a process and aproduct The writer imagines, organizes, drafts, edits, reads and rereads are theprocess Meanwhile, what the audience sees is a product
From the above definitions, it is concluded that writing is a process ofactivities, which includes thought and mental efforts In writing, we can share ourown ideas, feelings or anything that exists in our mind

Robin Jeffrey (2017) state that: “There are four main types of writingexpository, descriptive, persuasive and narrative Each of these writing styles isused for a specific purpose A single text may include more than on writing style.”
A writer’s style is a reflection of his or her personality, unique voice, and way
of approaching the audience and readers However, every piece which writers write
is for a specific purpose—for example, writers may want to explain how somethingworks or persuade people to agree with their point of view While there are as manywriters’ styles as there are writers, there are only four general purposes that leadsomeone to write a piece, and these are known as the four styles, or types, of writing(according to Syed Hunbbel Meer) These types of writing include:
Expository writing is one of the most common types of writing When an
author writes in an expository style, all they are trying to do is explain a concept,imparting information from themselves to a wider audience Expository writingdoes not include the author’s opinions but focuses on accepted facts about a topic,including statistics or other evidence

appearance in nonfiction When an author writes in a descriptive style, he ispainting a picture in words of a person, place or thing for their audience The authormight employ metaphor or other literary device in order to describe the author’simpressions via their five senses (What they hear, see, smell, state or touch) But theauthor cannot try to convince the audience of anything or explain the senses Forexamples of descriptive writing are poetry, journal, diary writing, description ofnature
Persuasive writing is a main style of writing you use in academic papers.
When the author writes in a persuasive style, they are trying to convince theaudience of a position or belief Persuasive writing contains the author’s opinionand biases as well as justifications and reasons given by the author as evidence ofthe correctness of their position Examples of persuasive writing are cover letter,review of items, letter of complaint advertisement and letter of recommendation
Narrative writing is used in almost every longer piece of writing, whether
fiction or nonfiction When an author writes in narrative style, they are not justtrying to impact information, they are trying to construct and communicate a story,complete with characters, conflict and settings Examples of narrative writing areoval histories, novels, poetry, short stories
This study researches more on persuasive writing with examples of businesscorrespondence- email In the information age, email has become a dominant form
of communication Being able to write a polished, professional email is now acritical skill both in college and at the workplace Good writing skill can give agreater sense of professionalism Professionalism should be reflected in form ofoutgoing communication, including business cards, brochures and an emailsignature Individuals who have a writing email skill- may be more likely tomaintain good relationships with their business partners and clients than those whoreply solely on their own eyes

Bacon (1989) rightly says, “Reading makes a full man, conference a readyman, and writing an exact man” Writing is a significant medium and it is used forvarious purposes First, writing aims to capture a thought or idea then transfer it to apermanent format, making it tangible Thanks to this process, it helps developlearners’ ability in summarizing, analyzing and criticizing a specific topic Second,
it helps increases your knowledge, creativity & imagination Effective writingensures a writer to be smart enough as he/ she writes with his experience as well ascreativity While writing anything, a human brain uses every part of the brain andcells If a person is writing his/ her life experiences, travel experience, article for ablog, editorial or anything else, all his knowledge related to that, memories,incidents, success and failures, present situations and future possibilities, everythingcomes out of writing This ultimately increases awareness, improves memory,makes you sharp and increases your creativity and imagination Moreover, the need
to learn to write in English for academic and occupational purposes is increasing Inthe field of education, writing plays a dominant role in writing projects,assignments, examinations, etc In fact, writing is the only medium through whichlearners are assessed formally in schools, colleges and universities Written tests areadministrated, even for job placements If you have good writing knowledge, it iseasier for you to get a good job Because employers give priority to writing ideasthan academic marks today
2.1.3 Characteristics of writing skills
2.1.3.1 Complexity
Written language is relatively more complex than spoken language Written
Trang 21are shorter and the language has more grammatical complexity, including moresubordinate clauses and more passives Written language is relatively morecomplex than spoken language (Biber, 1988; Biber, Johansson, Leech, Conrad &Finegan, 1999; Chafe, 1982; Cook, 1997; Halliday,1989) Written texts arelexically dense compared to spoken language - they have proportionatelymore lexical words than grammatical words Written texts are shorter and havelonger, more complex words and phrases They have more noun-based phrases,more nominalizations, and more lexical variation Written language isgrammatically more complex than spoken language It has more subordinateclauses, more "that/to" complement clauses, more long sequences of prepositionalphrases, more attributive adjectives and more passives than spoken
2.1.3.2 Formality
Writing skill is relatively formal In general, this means that in an essay youshould avoid:
a colloquial words and expressions; ""stuff", "a lot of", "thing", "sort of"
b abbreviated forms: "can't", "doesn't", "shouldn't"
c two word verbs: "put off", "bring up"
d sub-headings, numbering and bullet-point in normal essays- but use them inreport

2.1.3.4 Objectivity
Written language is in general objective rather than personal It therefore hasfewer words that refer to the writer or the reader This means that the mainemphasis should be on the information that you want to give and the arguments youwant to make, rather than you For that reason, writing English tends to use nouns(and adjectives), rather than verbs (and adverbs) This is related to the basic nature
of study and writing English, in particular Nobody really wants to know what you
"think" or "believe" They want to know what you have studied and learned andhow this has led you to your various conclusions The thoughts and beliefs should
be based on your lectures, reading, discussion and research and it is important tomake this clear
2.1.3.5 Explicitness
Writing English is explicit about the relationships in the text Furthermore, it isthe responsibility of the writer in English to make it clear to the reader how thevarious parts of the text are related These connections can be made explicit by the

or "conference" Or from: "money", "cash", "currency", "capital" or "funds"
2.2 Difficulties in writing in English
It can be said that it is very difficult to conquer a second language, especially
in English The English language is one of the most popular languages to learn,perhaps the most spoken language around the world is English, and many peoplechoose to learn the language simply to place them in a better position to securework, or communicate more effectively with more people from around the globe.English might be a major language to learn, but this does not necessarily mean it is
a simple language to master, there are many challenges people face when learningEnglish And writing is one of the most important English skills Quite a lot ofpeople face difficulties in writing English There are many experts who havediscussed this issue
The ability to write does not come naturally but requires regular study andpractice This means that, in order to develop writing skills, learners need to spendtime practicing writing and reading a lot of documents The process of learning towrite English as a foreign language is often affected by factors such as lack ofmotivation, limited reading activities and the influence of the mother tongue
Trang 24In many studies, motivation is always considered necessary to succeed.Harmer (2006a) points out that "People involved in language teaching often say thatstudents who want to learn will succeed whatever circumstances in which theystudy They succeed despite using methods which experts consider unsatisfactory.
In the phase of such a phenomenon, it seems reasonable to suggest that themotivation that students bring to class is the biggest simple factor affecting theirsuccess." It shows that motivation helps learners to improve their interest towardswriting Learners with high level of motivation do good learning and writing andachieve good results Students with low level of motivation, find writing complexand also sense failure
Reading is a useful tool in helping learners improve their writing abilitybecause the reading process helps learners gain access to content written by others
In this view, Eisterhold (1997) asserted “better writers tend to be better readers,better writers read more than poorer writers, and finally better readers tend toproduce more syntactically nature writing than poorer reader” In writing lessons,reading is often applied and regarded as a warm-up activity for writing because byreading samples, it helps students visualize the basic structure of the writing later.Many studies have shown that the more people read, the more they will have access
to the new language to better understand vocabulary structure, idioms, sentencestructure, idea organization, and weaknesses In other words, reading is aprerequisite for writing and plays an important role in developing learners' writingskills Therefore, it can be affirmed that one of the reasons why English languagelearners have difficulty writing is the limitation of practicing reading or not havingthe habit of extensive reading
It is widely recognized that the mother tongue is also one of the factorsinfluencing learners in the process of learning a foreign language in general andlearning writing skills in particular Learners often have the habit of thinking in
